Job Summary We are seeking a highly organized and detail-oriented Office Administrator to join our team. The ideal candidate will manage daily administrative tasks, provide exceptional customer service, and ensure smooth office operations. This role requires proficiency in various office software, strong communication skills, and the ability to handle multiple responsibilities efficiently. Experience in skilled office settings is a plus, but not required. The Office Administrator will be a key point of contact for clients, supporting the overall productivity of the organization. Responsibilities - Manage front desk operations, including greeting visitors and answering multi-line phone systems with professionalism and courtesy - Perform data entry for clients using Sage 50, Quickbooks and Caseware - Handle filing systems, documentation, and correspondence to ensure organization and accessibility of information - Provide customer support by addressing inquiries promptly and effectively - Assist with bookkeeping tasks and basic financial record keeping - Schedule appointments, manage calendars, and coordinate meetings - Proofread documents for accuracy and clarity before distribution - Support administrative projects and perform general clerical duties such as photocopying, scanning, and mailing Qualifications - Proven experience in office administration or clerical roles; experience in professional offices is advantageous - Strong computer skills with proficiency in Microsoft Office Suite (Word, Excel, Outlook), Sage 50, QuickBooks, and data entry software - Excellent organizational skills with the ability to multitask effectively in a fast-paced environment - Exceptional customer service skills with professional phone etiquette and communication abilities - Attention to detail for proofreading documents and managing records accurately - Prior experience with front desk operations, multi-line phone systems, filing systems, and bookkeeping preferred - Ability to handle confidential information discreetly and maintain a high level of professionalism - Strong typing skills with a focus on accuracy and speed This position offers an opportunity to be an integral part of our administrative team while developing your skills in a dynamic office environment.
