Availability: 25 hours/week, approx. 5 hours/day Response times: 12 hours, 7 days a week. Using Teams tools as needed. The Opportunity CH Financial Ltd. is hiring a part‑time Executive / Personal Assistant to provide dedicated, one‑to‑one support to our CEO within a high‑performing holistic wealth management firm. At CH, we are known for thoughtful advice, strong long‑term relationships, and doing things the right way for both our clients and our team. We provide integrated investment management through our partners and independently deliver tax, financial planning, and estate planning services. This is a true hybrid Executive and Personal Assistant role, with an approximate 60/40 split between personal and professional support. The role centres on owning the day‑to‑day logistics of the CEO’s work and personal life, ensuring that schedules run smoothly, household operations are managed, and changes are handled calmly and efficiently. This position is best suited to someone who enjoys being firmly behind the scenes, takes pride in practical support, anticipates needs, and is comfortable managing personal, household, and administrative responsibilities with discretion and reliability. A structured transition will be provided, including documentation, shadowing, and consultation support from the outgoing Executive Assistant, who is transitioning internally. What You’ll Do As the CEO’s primary support, you will act as a trusted partner responsible for the personal, household, and administrative logistics that allow each day to run smoothly, even when plans change. Personal and Household Support - Coordinate ongoing household services such as cleaners, lawn care, snow removal, and other recurring vendors - Arrange one‑off home services and repairs, including sourcing vendors, requesting quotes, booking appointments, providing access details, and tracking completion - Coordinate vehicle servicing, including maintenance, inspections, detailing, and seasonal requirements, ensuring appointments are booked and followed through - Support personal errands and logistics as needed, such as coordinating deliveries, returns, and personal appointments - Manage personal gift coordination, including client gifts, special occasions, and family events, from ordering through delivery Calendar, Travel, and Life Logistics - Proactively manage the CEO’s business and personal calendar, recognizing that meetings may sometimes be scheduled on the fly; resolve conflicts and double bookings, clean up internal scheduling overlaps, and ensure priorities are protected and the day remains workable - Coordinate business and personal travel arrangements, with a strong emphasis on handling changes, rebooking flights, adjusting accommodations, and updating itineraries - Monitor travel logistics proactively to identify and address disruptions as they arise Communication and Administrative Support - Act as a point of contact on behalf of the CEO, monitoring and responding to calls and emails, handling routine matters directly, and escalating when necessary - Liaise with internal teams, external partners, service providers, and household vendors to coordinate timing and expectations - Support meeting logistics as required, including scheduling, preparation of materials, and light follow‑through - Assist with time‑bound special projects and ad hoc administrative requests during business hours - Provide light personal brand support, including social media and podcast coordination along with basic website edits in WordPress What You Bring - A strong service‑oriented mindset and genuine satisfaction in supporting others behind the scenes - Comfort performing hands‑on personal assistant work, including household coordination, vendor management, and life logistics - A calm, steady demeanour and the ability to handle frequent changes without becoming flustered - Strong organisational skills and the ability to manage multiple priorities independently - Sound judgement, professionalism, and discretion when handling confidential or sensitive matters - Clear, polished communication skills, written and verbal - Excellent written and spoken English What Will Set You Up for Success - High school diploma or GED required. - 2–3 years of experience in an office, executive assistant, or personal assistant role, or equivalent experience. - An anticipatory, solutions‑oriented approach, with a willingness to take ownership rather than wait for direction Why CH?
