Role Overview: Our Calgary office is currently seeking a Receptionist to join our Facilities, Business & Client Services department, reporting to the Manager, Facilities, Business & Client Services. The Receptionist is passionate, service-oriented and a positive professional with excellent communication skills. This role’s primary focus is being the first point of contact and the face of the firm and be responsible for providing optimal delivery of services to visitors and internal clients. The successful candidate will be responsible for: Reception - Greeting and announcing visitor arrivals and maintain a visitor/vendor log - Operating a single position phone system; handle all types of incoming calls, transfer callers to the appropriate person and provide information while maintaining firm confidentiality - Performing opening and/or closing duties of the reception area whereby ensuring the client space is vacant prior to leaving - Maintaining the Reception area ensuring this is always in presentable and tidy conditions - Adhering and enforcing security protocols for visitors accessing our premises and issue trades visitor access cards while maintaining a log - Providing back-up telephone support to the Toronto and Vancouver Reception desks as required - Updating and maintaining operational manuals and policy/procedural documentation for the reception desk - Maintenance reception Service Now requests ensuring tickets are closed - Placing orders and maintains inventory for snack program - Announcing weekly internal visitors to internal management team - Performing other duties as required and provide clerical or administrative support as assigned by the Manager, Facilities and Business Services Security - Maintaining temporary access card spreadsheet - Maintaining access card master spreadsheet - Ensuring temporary cards are maintained in accordance with protocol - Ensuring cards for new hires and departures and activated/deactivated - Ensuring the reception desk is being continually monitored Boardroom Services - Monitoring the daily meeting room schedule; provide proactive support to meeting hosts by confirming requirements in advance of meeting date - Assisting with last minute meeting requests - Order catering services for meetings and liaise with the Manager, Facilities & Business Services on menu selection and pricing - Coordinating with IT to ensure audio-visual equipment, conference calls, and presentations are set up and ready for host - Overtime may be required for special events or meetings taking place after hours or before office hour set up The successful candidate must have the following education, experience and/or demonstrated skills: - Three years of experience in a law firm or corporate environment an asset - Exceptional customer service skills and telephone manner - Strong oral and written communication and interpersonal skills - Effective time management and organizational skills with attention to detail and accuracy - Capability of taking initiative and working both independently while being a team player - Previous experience in a law firm or in a corporate environment is an asset - Proficient in MS Outlook Suite - Previous experience with room booking software is an asset - General knowledge of Sendsuite, MS Teams and Tango an asset - General technical knowledge an asset, but not required - Required to stand or sit for an extended period of time or for an entire shift - Required to move, lift, carry, pull and place objects weighing less than or equal to 50 pounds without assistance Employment Type: Permanent, Full-Time (In office) What we offer: - Competitive compensation + Extended Health & Dental Care. - RRSP Matching Program. - Education/tuition allowance. - Fitness Reimbursement Program. - Diversity and Inclusion Centric Culture. - A Culture of Wellness: Cassels recognizes the importance of wellness and provides a comprehensive program that addresses the mental and physical well-being of our employees by providing resources, services, training and support on an ongoing basis. - A fully stocked kitchen with healthy snacks, plus coffee, tea, and drinks throughout the year. - A business casual dress code (client/day specific). - Employee referral bonus.
