Role Overview: The Facilities and Client Coordinator is the first point of contact for all facility and client centered related issues including the daily operations of the physical space, security, health and safety, and maintenance in a cost effective and efficient manner. This role’s focus is on performing day-to-day upkeep of premises and maintenance and delivers high quality hospitality service to support firm standards and provide an exceptional experience for both internal teams and clients. The successful candidate will be responsible for: Facilities - Monitor and track Facilities mailbox - Daily walk through of space to ensure overall condition of premises and common areas Hotelling offices – Clean and reset for current user after each booking - Manage preventative maintenance cleaning, art, plant maintenance programs, filters, small appliances - Maintain Office and workstation signage updates (Visix and nameplates) - Prepare New Hire workspaces prior to arrival are maintained (Lighting/carpet/walls, etc.) - Internal meeting room review and reset - Liaise with vendors as needed - Daily maintenance of Facilities Service Now requests ensuring tickets are closed Client Services - Ensuring meeting rooms are set up, with office supplies and hospitality requirements. - Executes all activity in the client centre including (but not limited to) greeting of clients, catering, boardroom bookings, equipment, and furniture set-up to ensure a consistent of high-level service is delivered - Supporting the Regional Events Specialist/Manager, Facilities & Business Services for special internal and client functions, getting final confirmation of the meeting’s time, number of participants, Audio Visual presentation materials, and room set-up - Restocks Client Centre floor boardroom inventory - Maintains coffee machines and kitchenettes, reporting stocking needs to reception for orders and inventory - Executes snack program | setting display out, reporting stocking needs to reception for orders and inventory - Provides tours of the Conference Floor to internal and external parties, explains the space including capacities, configurations, and limitations - Ensure all rooms are set according to business volume and client requirements. - Crosstrain with the mail services team and reception team for the ability to back up during absences, vacations, high volume requests Safety and Security - First Aid and CPR certified - Smart Serve Certification and/or Food Handlers certification considered an asset - Key Member of Health & Safety Committee - Ability to work effectively with minimal supervision The successful candidate must have the following education, experience and/or demonstrated skills: - Three to five years of facilities experience - Previous experience in a law firm is preferred - Post-secondary education - First Aid and CPR certified - Proficient in Microsoft Office - Ability to organize and display leadership qualities as well as work well with co-workers - Ability to work under pressure, be flexible and adapt to changing situations easily - Ability to juggle multiple priorities, meet deadlines and exhibit sound judgment - Exceptional communication skills - Energetic and passionate about client service and service standards related to meetings and events - Availability to work overtime or flexible hours, including evenings and weekends, when necessary - Will appeal to individuals who enjoy working with people, are detail-oriented and thrive on providing outstanding customer service to clients Employment Type: Permanent, Full-Time (On-site) What we offer: - Competitive compensation + Extended Health & Dental Care. - RRSP Matching Program. - Education/tuition allowance. - Fitness Reimbursement Program. - Diversity and Inclusion Centric Culture. - A Culture of Wellness: Cassels recognizes the importance of wellness and provides a comprehensive program that addresses the mental and physical well-being of our employees by providing resources, services, training and support on an ongoing basis. - A fully stocked kitchen with healthy snacks, plus coffee, tea, and drinks throughout the year. - A business casual dress code (client/day specific). - Employee referral bonus.
