We’re looking for a highly organized, detail-driven Senior Sales Assistant to be the engine behind our sales and inventory operations. This is a key role that keeps everything moving — from sold orders and dealer trades to wholesale and used vehicle coordination. What You’ll Be Responsible For Sales & Inventory Coordination - Track and manage all sold new and used vehicle deals - Monitor delivery timelines and flag delays - Ensure accuracy in our DMS at every stage Dealer Trades - Coordinate inbound and outbound dealer trades - Manage logistics, paperwork, and communication with other dealerships - Track trades from request to arrival Wholesale & Auction Administration - Prepare bills of sale and documentation - Ensure compliance with OMVIC and provincial requirements - Liaise with auction partners and buyers Used Vehicle Purchases - Track purchases from acquisition to lot-ready - Maintain accurate records and flag discrepancies - Support appraisal and purchase documentation TCUV (Toyota Certified Used Vehicles) - Complete and track all TCUV registrations - Ensure eligibility and coordinate inspections - Stay up to date on Toyota program requirements Website & Inventory Accuracy - Ensure all vehicles are listed and priced correctly online - Maintain alignment across PBS, vAuto, and website listings Guest Support (Occasional) - Assist with trade-in or deal-related inquiries - Escalate complex concerns to management What Success Looks Like - Zero missed updates on sold orders - Fast, efficient dealer trade turnaround - Accurate, compliant documentation - Solid internal team support and communication What You Bring - 2+ years in automotive admin, coordination, or sales support - Experience with DMS systems (PBS, CDK, Dealertrack, etc.) - Strong understanding of dealership processes (trades, wholesale, inventory) - Exceptional attention to detail and organization - Strong communication skills - OMVIC license Why Jackson’s Toyota?
