The Opportunity First National is seeking an Executive Assistant to provide shared support to the Chief Product&Technology Officer (CPTO) and the Chief Transformation Officer (CTO). This role sits at the center of a fast‑moving executive agenda spanning product, technology, modernization, governance, and enterprise transformation.
As a trusted partner, you will enable focus, efficiency, and impact by proactively managing priorities, coordinating complex schedules, preparing executives for key engagements, and ensuring strong follow‑through across stakeholders. Your ability to anticipate needs, exercise sound judgment, and operate with discretion will be essential to supporting senior leaders in a dynamic environment.
How you will contribute:
Proactively manage complex and frequently changing calendars for both executives, aligning time to business priorities and key decision points
Coordinate internal and external meetings, leadership forums, governance sessions, town halls, and off‑sites
Prepare executives for meetings through agendas, briefing materials, pre‑reads, and logistics to ensure effective participation
Track action items, decisions, and follow‑ups, helping maintain momentum and identifying risks or dependencies
Support the rhythm of business across Product, Technology, and Transformation, including recurring reviews and cross‑functional coordination
Arrange travel, accommodations, itineraries, and manage expenses
Draft, review, and edit executive‑level communications, presentations, and reports with a high degree of accuracy and professionalism
Act as a key point of contact for internal and external stakeholders, handling confidential matters with discretion
Manage incoming correspondence, prioritizing and responding where appropriate
Support governance activities, including board and committee meetings (logistics, materials, and follow‑ups)
Collaborate with other Executive Assistants and senior leaders to ensure alignment and effective information flow
Provide administrative and operational support including document management and general office coordination
Assist with ad‑hoc initiatives related to product, technology, and transformation priorities
Uphold confidentiality, corporate policies, risk/compliance requirements, and AML standards where applicable
The experience you need:
Minimum 5 years of experience supporting senior leaders (VP, SVP, or C‑suite), ideally across multiple stakeholders
Proven ability to manage competing priorities and shifting demands in a fast‑paced environment
Strong calendar management, executive coordination, and meeting preparation skills
Advanced proficiency in Microsoft Office (Outlook, Teams, PowerPoint, Word, Excel)
Exceptional written and verbal communication skills with strong attention to detail
Highly organized, proactive, and resourceful with the ability to work independently
Demonstrated discretion, integrity, and sound judgment in handling confidential information
Strong interpersonal skills and ability to work effectively with executives and cross‑functional teams
Ability to remain calm and effective under pressure
Flexibility to work extended or adjusted hours when required
Experience in financial services, technology, consulting, or a high‑change environment is an asset
Strong ethical standards and commitment to professionalism
Relationships: External Customers: Clients, strategic partners, vendors, consultants, regulators, auditors, and third‑party partners
Internal Customers: The CPTO, the CTO, members of the Executive Leadership Team, Technology and Transformation team members, internal board and committee members, and cross‑functional employees across the organization.
Working Environment and Physical Demands Analysis:
Periods of high volume with tight timelines
Long periods of stationary position/sitting
Prolonged periods of repetitive movement (i.e. using a keyboard and mouse)
Long periods of time in viewing a computer screen
Multi‑tasking may include speaking to customers on a telephone call while looking up information on a computer program.
