About the Opportunity Executive Support
Manage the CEO’s complex calendar, including scheduling meetings, appointments, travel, and events
Coordinate internal and external meetings, including agendas, briefing materials, presentations, and follow-ups
Prepare correspondence, reports, memos, and confidential documents on behalf of the CEO
Screen and prioritize incoming communications, including emails and phone calls
Track action items and ensure timely follow-through on priorities and deadlines
Board&Stakeholder Coordination
Assist with Board of Directors meetings, committee meetings, and governance documentation
Prepare meeting packages, take minutes, and maintain accurate records
Liaise professionally with donors, community partners, government representatives, and external stakeholders
Support fundraising, community engagement, and organizational events as required
Administrative&Operational Support
Maintain organized filing systems, records, and confidential information
Support office operations and administrative processes
Coordinate travel arrangements, expense reports, and procurement requests
Assist with special projects, strategic initiatives, and cross‑functional coordination
Communication&Relationship Management
Serve as a key point of contact between the CEO and staff, partners, and external stakeholders
Draft internal communications and announcements
Help foster a collaborative and professional organizational culture
About You
Postsecondary education in Business Administration, Office Administration, Communications, or a related field preferred
3–5+ years of experience supporting senior executives, ideally within a non‑profit, healthcare, education, or community organization
Exceptional organizational and time‑management skills
Strong written and verbal communication abilities
High level of professionalism, diplomacy, and confidentiality
Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) and virtual meeting platforms
Experience coordinating board meetings and governance documentation is an asset
Ability to manage multiple priorities in a fast‑paced environment
Pay Range $75,000 - $85,000 per year
