Job Family Group Business Management
Responsibilities
Provides subject matter expertise and advice related to assigned strategic initiatives and acts as relationship manager for assigned initiatives.
Builds effective relationships with internal/external stakeholders.
Breaks down strategic problems, analyzes data and information to provide insights and recommendations.
Gathers and formats data into regular and ad‑hoc reports and dashboards.
Leads the planning, coordination and implementation of department events.
Provides senior level administrative and operational support within a large, diverse team including one or more senior executives.
Employs systems (e.g., customized exception reports, tracking reports etc.) to manage information.
Integrates information from multiple sources to enable more efficient processes, enhanced analysis and/or streamlined reporting.
Provides input into the planning and implementation of administrative programs.
Coordinates and monitors budgets and reports on results vs. budget.
Provides coaching and mentoring to junior administrative assistants to support their development.
Manages and monitors calendars and upcoming events, dispatches meeting invitations, books meeting rooms and arranges resources for efficient meeting facilitation.
Develops and maintains a filing system; ensures business and operational reports, forms, and other documentation are readily available.
Supports the development of tailored messaging, including writing, editing and distributing communications.
Dispatches outgoing communications and answers central phone line inquiries.
Processes invoices for payment in adherence to documented processes and vendor agreements.
Prepares and logs departmental expense claims and reports, tracking expenses to stay within budget.
Makes travel arrangements, including booking flight/hotel reservations.
Liaises with internal business units and external vendors; participates in the coordination of premises and building‑related matters.
Maintains supplies inventory, anticipates needs and places orders.
Ensures vacation and absence scheduling is documented and consistent across employees in the group.
Coordinates training requirements for staff.
Collaborates with stakeholders to deliver on business objectives.
Organizes work information to ensure accuracy and completeness.
May focus on a specific business/group.
Thinks creatively and proposes new solutions.
Exercises judgment to diagnose and solve problems within given rules.
Works mostly independently.
May be assigned broader work or accountabilities as needed.
Balances measured risk while protecting the bank under the Risk Management Framework and applicable policies and regulations.
Qualifications
Typically 7+ years of relevant experience in an administrative/professional support function, demonstrating progressive responsibility and a post‑secondary degree in a related field.
Specialized knowledge from education and/or business experience.
In‑depth verbal and written communication skills.
In‑depth collaboration and team skills.
In‑depth analytical and problem‑solving skills.
In‑depth influence skills.
Salary Salary range: $45,500 - $84,500 CAD (subject to qualifications).
