We are a leading trailer dealership specializing in cargo and utility trailers. Last year, we experienced 30% growth, moving 100+ units per month. As we expand to a second location and implement state-of-the-art dealership software (DMS), we are looking for a high-level Office Administrator to become the "operational glue" of our main lot. This is not just a desk job; it is a pivotal role in a fast-paced, high-volume environment.The Role

Reporting directly to the COO, you will be the hub of the dealership. Your mission is to protect our efficiency by managing the flow of information between Sales, Service, and Accounting. You will take the lead on administrative deal-processing, ensuring that our high-volume sales are documented perfectly and our service department is supported.Responsibilities

Manage front desk operations, including greeting visitors and answering multi-line phone systems with professionalism and courtesy Perform data entry, filing, and document proofreading to ensure accuracy and organization Utilize QuickBooks and bookkeeping skills for financial record keeping and invoicingProvide excellent customer support and phone etiquette to clients, vendors, and staff Assist with clerical tasks such as typing correspondence, managing emails, and maintaining office supplies Ensure the office environment is organized, clean, and welcoming at all times Own the "File Hand-off" process. Review Bill of Sale documents, process customer deposits, and ensure all paperwork is 100% accurate before it hits the accountant’s desk.Serve as a power-user of our Dealer Management Software. Enter inventory, update customer records, and ensure data integrity across all departments. Match vendor invoices to Purchase Orders (POs) and prepare them for payment, ensuring our parts and inventory costs are tracked accurately. Support the Parts&Service Manager with scheduling and trailer registrations to ensure 100% "Sell-Ready" inventory. Experience

Prior administrative experience in an office setting is preferred Familiarity with QuickBooks, Microsoft Office (Word, Excel), and Google Workspace is highly desirable Experience with data entry, filing systems, and clerical duties such as proofreading and document management Customer service background with robust phone etiquette skillsKnowledge of medical or dental office procedures is a plus but not mandatory Proven organizational skills with the ability to multitask efficiently in a fast-paced workplace Strong computer skills including typing proficiency and familiarity with multi-line phone systems Experience with Dealership Management Software suites is a plus but not requiredWho You Are (Qualifications)
