ABOUT HALLETT HOMES We are looking for an experienced Production Coordinator with exceptional attention to detail, strong systems knowledge, and a proven ability to keep a fast-moving build program on track. THE OPPORTUNITY As our Production Coordinator, you are the operational engine behind every home we build. You own the production side of our build process inside Newstar — from model setup and takeoffs, to purchase orders, variance POs, draw verifications, and trade coordination. Newstar is our preferred operating system and the backbone of everything we do in production. This role lives inside Newstar daily. Proven Newstar experience — or a demonstrated ability to master it quickly — is central to success in this position. ROLES & RESPONSIBILITIES - Set up new models, room measures, sales, and takeoffs in Newstar to support every new lot and community release. - Maintain and continuously improve the product library in Newstar, including standards, upgrades, and option pricing. - Process and issue purchase orders in Newstar, verifying amounts against contracts, budgets, and approved pricing. - Issue variance purchase orders as requested and ensure every variance is documented, coded, and reconciled. - Verify trade draw payments against issued POs and contracted scopes before release. - Review colour charts and selections and verify amounts against contract prices and the Newstar product library. - Partner closely with Site Supervisors and trades to keep production schedules, scopes, and budgets aligned. - Provide day-to-day support to trades by responding to or redirecting inquiries and troubleshooting field issues. - Help trades navigate Hallett Homes processes, Newstar portals, and our document flow. - Inform utility companies of closing schedules and coordinate homeowner information hand-off at key milestones. - Maintain the Site Contact list and keep trade contact details current in Newstar. - Support the Production Manager with reporting, data clean-up, and ad hoc production initiatives as we scale lot supply. - Coordinate custom option pricing for décor appointment requests — liaise with trade partners for quotations, collaborate with the Production Manager on cost review and retail markups, and facilitate timely issuance of purchaser pricing to the Décor Consultant. WHAT YOU BRING - Minimum 2 years of related experience in residential construction, production coordination, purchasing, or a similar operations role. - University or College graduate. - Newstar experience is strongly preferred. Candidates with hands-on Newstar experience (takeoffs, POs, product library, variance POs) will be prioritized. If you do not have Newstar experience, you must demonstrate rapid mastery of new systems. - Strong Excel skills and confident across the Microsoft Office suite. - Exceptional attention to detail and a track record of producing accurate, audit-ready work. - Effective written and verbal communication — comfortable coordinating across office staff, site teams, and trades. - Highly organised and able to multi-task while hitting tight deadlines in a rapid-moving production environment. - Works well independently and as part of a close-knit team.
