Support Staff Temporary Roster CBE Human Resources manages a roster of contingent casual on-call workers who are engaged to temporarily replace staff absences and to work on short-term projects. Work assignments may be scheduled in advance or the morning of the assignment. Roster staff enjoys the flexibility of working in schools and departments full-time or part-time with a minimum commitment of two days availability per week. We are looking for reliable, self-motivated people to join our temporary roster team as on-call School Secretary/Office Assistants to perform clerical duties supporting in the day-to-day operation of the school. By joining the CBE as a temporary School Secretary/Office Assistant you will enjoy: - A great work environment with an organization that makes a difference in the lives of students every day. - $23.82 (Gade C) per hour to start, plus 6% vacation pay; - Opportunities to advance your career. Position Description Responsibilities Office Management: - Support Administrative Secretary with emails, making announcements, overseeing the door, managing counter inquiries, screening calls and relaying messages, scheduling appointments, and contacting parents concerning student absences, lates or early dismissals. - Maintain office supplies, wall charts, bulletin boards and other information materials. - Receive and register substitute teachers and casual support staff. - Process incoming and outgoing mail and deliveries. - May sell bus passes and maintain records. Receive money, issue change and receipts. Document Management: - Access Student Information System documenting registrations, withdrawals, transfers, attendance, referrals, and detentions. - Request or forward student cumulative records and files. - Support Administrative Secretary with filing and searching for office records as well as preparing files for storage. - Prepare lists and pulls reports. Qualifications Education and Experience: - High School diploma or equivalent. - Completion of a recognized post-secondary Office Assistant Diploma or Certificate with successful practicum. - Minimum one-year related experience in an office environment. - Other equivalent combinations of directly related post-secondary education and directly related experience may be considered. - Fluency in spoken and written English and the appropriate second language in schools for bilingual programs is a strong asset. Demonstrated Skills and Competencies: - Accurate data entry. - Ability to use computer applications such as Office 365, Outlook, and other information management tools. - Strong customer service and interpersonal skills which includes verbal, listening and written communication. - Efficient time management, prioritization, multitasking and organization. - Ability to build relationships with colleagues, parents, and students. - Demonstrate professionalism, confidentiality, tact, and diplomacy in a variety of situations. - Good problem solving and decision-making skills. - Ability to adapt, manage change and use appropriate judgement. - Demonstrated trustworthiness, integrity, dependability, and reliability. Conditions of Employment Police Information Clearance: Applicants new to the Calgary Board of Education who are offered employment must complete and pass a police information clearance before employment is confirmed.
