Job Overview We are seeking a detail-oriented and organized Office Assistant to support our administrative team. This role is vital in ensuring smooth daily operations within our office environment. The ideal candidate will possess solid clerical skills, excellent customer service abilities, and proficiency with various office software. Experience in medical or dental offices is a plus, but not required. The Office Assistant will handle a variety of administrative tasks, including data entry, filing, and front desk responsibilities, contributing to an efficient and welcoming workplace. Duties Manage front desk operations, including greeting visitors and answering multi-line phone systems with professionalism and courtesy Perform data entry and maintain accurate records using Microsoft Office, Google Workspace, and QuickBooks Handle filing systems, both electronic and paper-based, ensuring documents are organized and easily accessible Provide customer support by addressing inquiries via phone or email and assisting with appointment scheduling Support bookkeeping and billing processes as needed, including invoicing and payment processing Proofread documents for accuracy and clarity before distribution Assist with administrative tasks such as photocopying, scanning, and preparing reports Maintain a tidy and organized office environment to promote productivity Qualifications Proven experience in an office setting with strong clerical skills Proficiency in Microsoft Office (Word, Excel, Outlook), Google Workspace, and QuickBooks Excellent organizational skills with the ability to prioritize tasks effectively Strong typing speed and accuracy; attention to detail for proofreading documents Exceptional customer service skills with qualified phone etiquette Experience working at the front desk handling multi-line phone systems preferred Knowledge of medical or dental office procedures is advantageous but not mandatory Ability to handle data entry with precision and confidentiality Demonstrated ability to work independently as well as part of a team This position offers an excellent opportunity for candidates seeking to develop their administrative skills in a dynamic office environment.
