The Office Administrator / Receptionist supports the company's day-to-day office operations and project administration functions. This role works closely with management, estimators, and project teams to provide exceptional customer service, ensure productive administrative processes, and maintain accurate records across the organization. As the first point of contact for clients, this individual serves as the voice of the company and must demonstrate professionalism, compassion, empathy, and excellent phone etiquette when assisting customers and responding to inquiries. Location: Hybrid role based in De Winton/Foothills, AB. Required to be in the office 3 days per week. Work from home on Tuesdays and Fridays. Reliable transportation required. Key Responsibilities - Serve as the primary point of contact for incoming phone calls and email inquiries, providing compassionate customer care and professional communication at all times. - Demonstrate exceptional phone etiquette while representing the company and supporting clients who may be experiencing urgent or stressful situations. - Schedule estimates by coordinating estimator availability and booking appointments efficiently. - Request, organize, and maintain required documentation prior to appointments. - Conduct follow-up calls and communications on sewer and water estimates to support customer service and project conversion. - Maintain the company CRM, ensuring data accuracy, consistency, and timely updates. - Develop and implement CRM workflows to improve team adoption, efficiency, and operational effectiveness. - Support the development, documentation, and maintenance of standard operating procedures (SOPs/SWPs). - Assist with general clerical and administrative tasks as required. - Support management with contract review, document preparation, and administrative coordination. - Perform other related duties in support of a full-time, multi-function office role. Qualifications & Skills - Post-secondary education in Business or a related field is considered an asset. - Minimum 2 years of experience in an office administration, customer service, or receptionist role. - Experience using QuickBooks Online is considered an asset. - Proficiency in Microsoft Word and Excel. - Excellent verbal and written communication skills. - Strong customer service skills with the ability to demonstrate empathy, professionalism, and discretion. - Strong attention to detail and organizational skills. - Ability to manage multiple priorities in a dynamic work environment. - Strong teamwork, problem-solving, and interpersonal skills.
