: Operations & Customer Service Coordinator – Alliston We are looking for a well-rounded, highly organized individual to join our Alliston team. This person must be an excellent communicator with a strong sense of urgency, a positive attitude, and the ability to problem-solve quickly in a fast-paced environment. The ideal candidate is dependable, team-oriented, and a strong culture fit who can support multiple areas of the business as the company continues to grow. This role requires someone who is excellent with computers, comfortable learning and navigating multiple programs, and confident working with systems such as QuickBooks, Excel, Shopify, MRPeasy, and Canva. Key ResponsibilitiesOrder Desk - Enter customer orders accurately into the ordering system. - Review order details to ensure accuracy and completeness. - Communicate with internal teams to confirm order status, availability, and timelines. Inside Sales & Customer Support - Call customers to collect orders and maintain strong customer relationships. - Support the onboarding and coordination of new customers. - Respond to customer inquiries in a professional and timely manner. - Identify opportunities to improve customer service and support sales growth. Dispatch & Driver Coordination - Coordinate delivery routes for delivery drivers. - Communicate with drivers regarding schedules, delivery updates, and route changes. - Problem-solve delivery issues as they arise. - Book deliveries with customers when required. - Ensure deliveries are organized, effective, and communicated clearly. Office Administration - Answer emails and communicate clearly with internal teams. - Support day-to-day office operations and administrative tasks. - Maintain organized records and documentation. - Assist with internal coordination between departments. - Navigate multiple software programs efficiently and accurately. Month-End Data Entry & Reporting - Complete month-end data entry into QuickBooks and Excel. - Ensure information is entered accurately and on time. - Assist with organizing financial, sales, inventory, and operational data. - Work closely with the Accounting team to support month-end processes. - Help maintain clean, accurate, and organized records. Shipping & Receiving - Book shipping and receiving appointments. - Coordinate inbound and outbound shipments. - Communicate with suppliers, customers, drivers, and internal teams regarding shipping schedules. Accounting Support - Work with the Accounting team to support order, invoice, and customer-related inquiries. - Assist with communication and documentation needed for billing or account follow-up. - Support data entry, reporting, and administrative tasks related to accounting processes. Inventory, Ordering & Supplier Coordination - Assist with inventory tracking and ordering. - Work with suppliers to coordinate product availability and delivery timelines. - Communicate inventory needs, shortages, and updates to the appropriate team members. - Use internal systems to help maintain accurate inventory and ordering records. Project Coordination - Support projects that help improve organization, efficiency, scaling, and company growth. - Assist with implementing processes that improve workflow and communication. - Help identify areas for operational improvement. - Support company growth by helping organize systems, processes, and internal communication. Computer & Software Skills Required The successful candidate must be very comfortable with computers and able to quickly navigate different software programs, including: - QuickBooks - Microsoft Excel - Shopify - MRPeasy - Canva - Email and general office software - Online ordering, inventory, and administrative systems Ideal Candidate Profile - Excellent computer skills. - Strong written and verbal communication skills. - Positive attitude and strong team mentality. - Excellent problem-solving abilities. - Able to work with a strong sense of urgency. - Highly organized and detail-oriented. - Comfortable managing multiple responsibilities at once. - Strong customer service mindset. - Reliable, adaptable, and proactive. - Able to learn new systems and software quickly. - Comfortable working with internal teams, customers, drivers, suppliers, and accounting. Position Summary This is a key role within the Alliston operation. The successful candidate will support order entry, customer communication, dispatch coordination, office administration, shipping and receiving, inventory, supplier coordination, month-end data entry, and project work. This person will play an important role in keeping the business organized, accurate, responsive, and prepared for continued growth.
