JOB DESCRIPTION: The Office Manager is responsible for general accounting duties, including receipts, disbursements of cash, and collections; management of the office, including hiring and supervising personnel; maintenance of equipment; correspondence with suppliers and customers; maintenance of tax records and submission of related forms; and other duties as assigned by management. The Office Manager must perform all the essential functions of the position with sufficient speed and accuracy to support a high level of customer service and contribute to the profitability of the business. DUTIES / RESPONSIBILITIES: - Maintain reports, financial and historical records in accordance with company policy and government requirements. - Respect and preserve the confidential nature of all company records and activities. - Supervise office personnel. - Maintain a positive cash flow by collecting and / or paying bills in a timely manner. - Prepare financial statements in accordance with company policy. - Supervise the preparation of statements for charge customers and the collections of overdue payments. - Assemble and maintain the necessary information for the preparation of tax returns. - Conduct an ongoing audit of charge accounts, tracking adherence to company credit policies. - Complete bi-weekly payroll. - Contact with 3rd party accounting firm. - Complete accounting requirements for bank - Look after staff benefits - Inputting direct supplier invoices & payment of invoices in a timely fashion taking advantage of discounts available - Inputting of Head Office invoices - Maintain effective communication with management. - Maintain cooperative working relationships with other department managers. - Make certain that the tax obligations of the company are met in a timely manner. - Advise management of actual or anticipated operating problems in a timely manner. - Make suggestions for rule or policy changes when such changes would improve sales, profits, efficiency, morale, and / or operations in general. - Provide a good example for office staff and other employees by following company procedures. - Work on special projects assigned by management, after determining their priority in relation to your other responsibilities. - Maintain effective communications with management and employees. - Select, hire, and train office personnel. - Make sure that employees fully understand their duties and responsibilities. - Recommend promotions, transfers, or terminations of office personnel when appropriate. - Arrange for employees in the office to be cross trained for other duties - Maintain professional confidentiality of all store and customer records. - Work on additional duties and assignments as assigned by management. - Work in a safe manner in accordance with provincial and federal safety legislation. Report any potential hazards and unsafe behavior to management in order to have the situation corrected. QUALIFICATIONS: - High school graduation or equivalent. - Post-secondary education in office administration or business accounting is an asset. - 2 - 3 years of office experience is an asset. - Ability to communicate effectively with management, employees, and the public at large in person and by telephone. - Ability to work co-operatively in a team atmosphere. - Ability to efficiently operate all office equipment, including a computer, fax machine, copier, etc., and train office personnel in their use when necessary. - Ability to read, understand, and interpret information provided in written and printed form, as well as data presented in numerical and / or statistical form. - Excellent mathematical skills. - Positive understanding of Home Hardware’s policies and procedures. - Willingness to continually develop professional skills and knowledge base. WORKING RELATIONSHIPS: - Reports directly to the General Manager and Dealer-Owner. Pay: $55,000.00-$60,000.00 per year Work Location: In person Apply on Kit Job: kitjob.ca/job/2p5umy
