Jakes Construction is seeking a highly organized and detail-oriented Construction Administrator to join our Construction Management team. This role works closely with the Construction Coordinator and supports field operations through production reporting, project documentation, payroll support, and administrative coordination. The ideal candidate thrives in a fast-paced environment, communicates effectively with field and office teams, and takes pride in accuracy and organization. Key Responsibilities - Coordinate and manage daily field documentation, including B2W Track entries, foreman reports, timecards, packing slips, trucking and material slips, equipment inspections, and time-off requests - Review field documentation and B2W entries for accuracy, coding, quantities, rates, and completeness - Follow up with field staff to resolve discrepancies and ensure required information is submitted on time - Enter and submit daily production data and reports - Maintain communication with field staff, Project Managers, Superintendents, and the Construction Management team regarding production information and project documentation - Assist with look-ahead schedules and owner reporting requirements - Maintain project tracking logs and assist with materials reconciliation and quantity tracking - Support Project Managers and the Construction Management team with project coordination and administrative tasks - Update and maintain schedules within B2W Schedule - Prepare, verify, and enter payroll-related information to support accurate payroll processing Qualifications & Experience - Grade 12 education, including Mathematics and English - Strong organizational, administrative, and time management skills - Excellent verbal and written communication skills - High attention to detail and accuracy - Ability to prioritize competing tasks and deadlines in a fast-paced environment - Robust problem-solving and critical thinking abilities - Professional, dependable, and adaptable - Proficient in Microsoft Excel, Word, Adobe Acrobat, and data entry systems - Experience with B2W Software and Sage 300 CRE (Timberline) is considered an asset - Civil Construction industry experience is considered an asset - Ability to handle confidential information with discretion - Reliable transportation and consistent attendance are required Working Conditions - Overtime may be required based on operational needs Why Join Jakes Construction?
