Description
Position Title: Executive Assistant Reports to: Executive Director Position Location: Chilliwack BC Salary: $38.27-$43.07/hr Work Schedule: Full Time, 35 hours per week Start Date: June 1, 2026 Summary: Skowkale is seeking a highly organized and professional Executive Assistant to support the Executive Director and Executive Leadership Team in advancing our mission and strengthening our governance practices. This pivotal role ensures the smooth operation of the Executive Office by coordinating executive functions, facilitating effective communication across leadership, staff, members, and external partners, and upholding the highest standards of confidentiality and professionalism. The Executive Assistant will play a central role in supporting advisory committees and the Board of Directors for Tōmiyeqw, managing records and correspondence, and providing essential administrative and financial coordination that keeps our organization moving forward with clarity and purpose. Responsibilities and Duties: Executive Support & Office Management - Manage the Executive Director’s calendar, priorities, and scheduling - Screen and prioritize calls, emails, correspondence, and visitors. - Coordinate regional, provincial, and federal travel arrangements, including itineraries and logistics. - Prepare and draft correspondence, develop briefing notes, reports, presentations, and executive materials. - Track action items, commitments, and follow-up requirements on behalf of the Executive Director. Governance & Board Administration - Coordinate meetings for Chief and Council, Board of Directors, Advisory Committees, and related governance bodies. - Prepare agendas, briefing materials, and meeting packages. - Record, prepare, and maintain accurate meeting minutes. - Track motions, resolutions, and follow-up actions to ensure timely implementation. - Ensure governance activities align with applicable policies, procedures, and regulatory requirements. Strategic & Project Coordination - Track and monitor major initiatives and strategic projects (e.g., housing, lands, health, education, economic development projects). - Monitor deadlines, funding agreements, and reporting requirements. - Assist with grant reporting and proposal coordination. - Provide administrative and coordination support for special projects and leadership initiatives. - Support interdepartmental communication to ensure alignment and timely information flow. Communications & Liaison - Act as liaison between the Executive Director and Community members, Chief and Council, Staff, Government agencies, and external partners. - Coordinate and distribute communications on behalf of the Executive Director. - Assist with media or public communications as required. - Respond to inquiries professionally and direct matters appropriately. Required Education and Experience - Post-secondary education in Business Administration or related field - Minimum five (5) year experience in an office or administrative role working with First Nation communities or equivalent experience. - Experience working in a First Nation community is an asset. - Previous supervisory experience is preferred. - Valid B.C. Class 5 Driver’s license Knowledge, Skills, and Abilities - Knowledge of First Nations governance structures, community protocols, and cultural considerations. - Strong understanding of governance processes, compliance requirements, and policy adherence. - Exceptional organizational, time management, and coordination skills. - Demonstrated ability to manage multiple priorities and deadlines in a high-pressure environment. - Strong written and verbal communication skills, including drafting executive-level correspondence and reports. - High degree of discretion and ability to manage confidential and sensitive information. - Robust interpersonal skills with the ability to build effective working relationships internally and externally. - Financial administrative awareness, including familiarity with funding and reporting requirements. - Intermediate to advanced proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and related software.
