Senior Bookkeeper & Office Administrator (In Office) Wild Life Distillery

Location: Canmore, AB

Employment type: Permanent, Full‑time, 40hrs/week

Annual Salary: $75,000 - $85,000 (Based on experience)

Wild Life Distillery is located in Canmore, Alberta and our team is growing! If you are ready to join us in connecting the world to craft spirits through authenticity, creativity and good stories, we are looking for a team member who will support our financial operations, people, customers and WLD brand through bookkeeping, administration, organization and communication.

What you are responsible for

Manage day-to-day bookkeeping functions using QuickBooks Online and related systems.

Oversee accounts payable and accounts receivable processes.

Prepare and issue invoices, and manage payment processing.

Complete AGLC reporting and excise tax remittances.

Prepare and submit GST filings and ensure ongoing CRA compliance.

Perform month‑end reconciliations and prepare all required closing journal entries.

Maintain inventory tracking and perform reconciliations between operational and accounting systems for tasting room and distillery operations.

Manage capital asset records and depreciation schedules.

Administer payroll processing and related reporting requirements.

Provide administrative and financial support to the fractional CFO.

Prepare year‑end working papers and support external accountants with all audit, tax, and reporting engagements.

Manage cash flow forecasting and financial planning activities.

Maintain accurate and organized financial and administrative records.

Manage vendor communications and accounts.

Oversee day-to-day office administration, including email and phone correspondence, scheduling, and internal communications.

Monitor and order office supplies as required.

Coordinate delivery logistics and shipping operations.

Manage online store order fulfillment and shipments.

Assist with inventory management and ordering of tasting room merchandise.

Support the tasting room manager with planning logistics of private tastings, bookings, and tours.

Communicate with customers and provide exceptional customer service by responding to inquiries in a timely and professional manner.

Experience you will bring

Minimum 5+ years bookkeeping experience preferred.

Strong proficiency in QuickBooks Online, Excel, Google Suite.

Experience with inventory reconciliation and operational accounting is considered an asset.

Post‑secondary education in bookkeeping or accounting is preferred; CPB designation or equivalent bookkeeping certification is considered an asset.

Strong communication and interpersonal skills.

High organizational skills with the ability to prioritize and multitask effectively.

An ability to thrive in a dynamic and fast‑paced workplace.

Collaborative mindset with the ability to work effectively within a team.

Genuine enthusiasm for the WLD brand and its commitment to quality and authenticity.

Knowledge of liquor regulations in Alberta, hospitality industry experience, and familiarity with manufacturing or inventory‑based businesses is an asset.
