All In Physiotherapy, Sport & Wellness is a growing multidisciplinary clinic dedicated to helping our community move and feel better. Our team provides physiotherapy, massage therapy, acupuncture, and other wellness services in a collaborative, qualified, and patient-focused environment. We are looking for a Clinic Manager / Administrative Lead who thrives on creating systems, solving problems, and taking ownership of daily operations, while also leading the front desk and delivering an exceptional patient experience. This is a hands-on leadership role combining front desk operations and clinic management. What You’ll Do: 1) Front Desk Operations This is a client-facing role. You will be the first point of contact and play a key role in shaping the patient experience. - Manage daily front desk operations and patient flow - Schedule appointments and coordinate practitioner calendars - Greet and assist patients in person, by phone, and email - Process payments and manage clinic billing - Handle direct billing, including extended health and ICBC claims - Maintain accurate patient records in Jane App - Support patient communication, follow-ups, and retention - Identify workflow gaps and help develop and implement SOPs 2) Clinic Operations & Leadership - Oversee daily clinic operations to ensure efficiency and professionalism - Support clinic growth through process improvements and operational systems - Supervise and support front desk staff - Assist with hiring, onboarding, and training of administrative staff - Build strong relationships with practitioners across multiple disciplines - Delegate tasks and improve team productivity - Manage inventory, supplies, and clinic equipment - Coordinate facility maintenance and organization - Assist with basic financial tasks (accounts receivable, tracking payments, etc.) What You Bring 1) Required - 1–3+ years experience in clinic management or healthcare administration - 1+ year experience with ICBC and WorkSafeBC billing - 1+ year experience with Jane App (or similar EMR system) - Experience with direct billing to extended health insurers - Strong customer
service and communication skills - Highly organized with strong attention to detail - Ability to multitask and manage a fast-paced clinic environment 2) Core Traits - Proactive and solution-oriented (“see a problem, fix it” mindset) - Strong leadership and accountability - People-focused — able to build relationships with patients and staff - Adaptable and comfortable with a dynamic work environment - Tech-savvy and quick to learn new systems 3) Preferred - Experience in a physiotherapy, massage therapy, or multidisciplinary clinic - Familiarity with medical terminology and clinic workflows - Experience improving systems or clinic processes How to Apply Please submit your resume and cover letter.
