Role Description This is a full-time, on-site role located Dundas, ON, for a Clinical Administration Coordinator. In this role, you will support our multidisciplinary team by owning day-to-day coordination of the front office, client scheduling, therapist calendar management, and intake support. This position is a central coordination position that ensures families feel welcomed and supported; therapists’ schedules are optimized, and clinic operations run smoothly and efficiently. For additional information about ATS please visit our company website: Anderson Therapy - Children's Speech Therapists Qualifications Required: - Diploma or degree in Office Administration (Health preferred), Social Services, Psychology, or a related field. - Minimum 3 years of experience in a client-facing or clinical/healthcare administrative role. - Experience supporting a multidisciplinary team in healthcare, therapy, or community services. - Strong organizational, multitasking, and time management skills. - Excellent verbal and written communication skills. - Strong customer service orientation and professionalism - Knowledge of privacy legislation (PHIPA/PIPEDA) and confidentiality practices. Assets: - Start as soon as possible. - Familiarity with EMR systems (Jane, Connecteam, etc.). - Knowledgeof First Nations, Inuit and Métis people, history, intergenerational trauma, culture, health priorities and social issues impacting mental health. Self-education is encouraged and ATS provides training opportunities regularly. - Possess the flexibility and time management skills necessary to manage an ever-changing caseload. - Flexibility, problem solving skills, creativity, and organizational/time management skills. - Strong computer skills and familiarity with video conference software (e.g., Zoom), Canva and the Microsoft Office ecosystem (e.g., TEAMS, SharePoint, Outlook, Word, Excel, PowerPoint). Key Responsibilities Client & Family Experience - Serve as the primary point of contact for clients and caregivers in office, via phone, email, and online platforms. - Deliver a welcoming, professional, and culturally respectful experience aligned with ATS values. - Respond to client inquiries regarding services, scheduling, billing, and clinic policies with clarity and compassion. - Support client feedback initiatives and identify opportunities to enhance the overall client experience. Intake, Scheduling & Care Coordination - Coordinate intake processes, including initial inquiries, service matching, consent documentation, and onboarding. - Manage therapist schedules, clinic flow, and room bookings to ensure efficient and uninterrupted service delivery. - Proactively adjust schedules in response to cancellations, changes, or urgent needs. - Support service tracking for contract- or funder-supported programs. Administrative & Systems Coordination - Maintain accurate, timely, and confidential client records in scheduling and EMR systems in compliance with PHIPA/PIPEDA. - Maintain and update internal trackers, dashboards, and administrative systems to support clinic operations. - Track office supplies and support day-to-day reception and front office operations. - Liaise with the finance team, funders, and families regarding invoicing, authorizations, and required documentation. Operational Excellence & Continuous Improvement - Optimize front-office workflows to support efficiency, consistency, and professionalism. - Identify and implement process improvement opportunities that enhance team effectiveness and client experience. - Maintain a safe, organized, and welcoming clinic environment reflective of ATS’s standard of care. Working Conditions - Primarily office-based work involving prolonged periods of sitting, computer use, and telephone communication. - Frequent walking within the clinic to support front office operations, client flow, and room coordination. - Flexibility to work occasional early mornings and evenings as required (e.g 8:15am to 7:15 pm). Shifts are scheduled in advance, with a mix of early and later days, with total weekly work hours staying consistent at 37.5 hrs. - Occasional lifting and carrying of office supplies, equipment, or files (up to 20 lbs). - Ability to multitask in a fast-paced environment and manage multiple interruptions. - Visual and auditory acuity required for computer-based work, scheduling systems, and client communication Job Type: Full time Pay: CA$21.60 - CA$27.00 per hour Benefits - Company events - Dental care - Extended health care - Life insurance - On-site parking - Paid time off - RRSP match - Employee Assistance Program.
