The Opportunity CBRE is seeking a resourceful and dynamic individual to provide administrative support to a department or office location. Provides support for reception and guest services, mail services, phone, meeting rooms, and location services. Responsibilities include but are not limited to : Receive and direct incoming calls to appropriate personnel and voicemail. Greet clients, applicants, and visitors upon arrival. Issue visitor passes and parking validations and follow security protocols. Schedule and prepare meeting and conference rooms. This includes room setup, placing catering orders, and securing technological equipment. Request building and housekeeping services as needed. Perform general clerical duties including distributing office faxes and packages and ordering office supplies. Track incoming and outgoing packages, mail, and freight. Arrange messenger service as needed. Arrange hospitality services for guests such as transportation, tickets, reservations, etc. Manage accounts payable coordination by submitting invoices for processing and payment, maintaining accurate tracking records, following up on outstanding items, and liaising with vendors and internal teams to resolve discrepancies in a timely manner. Coordinate marketing and signage requests by working with internal stakeholders and external vendors to gather requirements, place orders, and track deliverables through to completion. Register and onboard new vendors within CBRE systems, ensuring required documentation is completed in accordance with company procedures. Use existing procedures to solve straightforward problems while having a limited opportunity to exercise discretion. Impact through clearly defined duties, methods, and tasks are described in detail. Deliver own output by following defined procedures and processes under close supervision and guidance. Performs other duties as assigned. Qualifications High School Diploma or GED with up to 2 years of job-related experience; College diploma considered an asset. Prior Front Desk, Concierge, customer service or other hospitality experience an asset. Communication skills to exchange straightforward information. Strong organizational skills with an inquisitive mindset. Intermediate skills with Microsoft Office Suite. Examples include Word, Excel, Outlook, etc. Basic math skills.
