The Opportunity Responsible for the physical movement, staging, kitting, and delivery of cannabis products and packaging materials throughout the warehouse and production floor, the Coordinator, Materials Management ensures the right materials reach the right place at the right time to support uninterrupted production. Reporting to the Supervisor, Materials Management & Distribution, this role operates in a fast-paced, regulated environment and requires strict adherence to Health Canada regulations, GMP, and GPP standards at every step. What You'll Do Material Handling, Kitting & Production Staging - Pick, kit, and stage cannabis biomass and packaging materials for production runs based on work orders and production requests, ensuring materials are ready ahead of scheduled start times - Replenish production line-side materials during active runs, monitoring consumption and proactively preventing production downtime - Process end-of-run material returns from the production floor with accurate counts, documentation, and WMS transactions - Handle material transfers between warehouse zones and production staging locations, ensuring all movements are system-recorded and physically verified Receiving, Shipping & Order Fulfillment - Receive inbound shipments of raw materials and packaging components, counting products and verifying against packing slips and purchase orders - Inspect incoming goods for damage or discrepancies; record shortages, reject damaged materials, and report issues to the Team Lead - Execute put-away of received materials using WMS-directed workflows and proper storage protocols (temperature, humidity, security, material segregation) - Support outbound shipping activities including picking finished goods, preparing shipping documentation, and validating shipment contents against orders Inventory Accuracy & WMS/ERP Transactions - Execute all material movements (picks, put-aways, transfers, staging, returns, adjustments) accurately in the WMS/ERP system using handheld scanners - Complete all system transactions in real time as materials are physically moved to maintain live inventory visibility across the facility - Support cycle count execution in assigned areas and assist Inventory Control with variance investigation and resolution Production & Planning Coordination - Coordinate daily with production and planning teams to align kitting priorities with schedule changes and material requirements - Communicate material availability issues, delays, or shortages to the Team Lead and production contacts promptly - Respond to ad hoc material requests from production (rush orders, line changeovers, rework materials) with urgency and accuracy Cannabis Handling, GMP Compliance & Safety - Handle all cannabis products in strict compliance with Health Canada regulations, the Cannabis Act, GMP requirements, and GPP standards - Maintain FIFO/FEFO protocols for all material picks; verify lot numbers, quantities, expiry dates, and QA release status before staging - Maintain proper material segregation between cannabis product categories and between released, quarantined, and held inventory - Follow all workplace health and safety protocols, including PPE usage, forklift and pallet jack operating procedures, and hazard reporting Team Support & Continuous Improvement - Support training of new team members on material handling procedures, WMS transactions, safety protocols, and GMP practices - Contribute to team KPIs including staging on-time rates, pick accuracy, inventory accuracy, and safety metrics - Participate in 5S activities, workplace organization initiatives, and continuous improvement projects as assigned OTHER DUTIES At Village Farms we are all growers at heart. This means other duties may arise since we work together to ensure we support all business activities – seed to sale. This role is on-site, which requires you to work on facility at all times in a Materials Management Coordinator role or directly supporting operations. What You Bring Education: - High school diploma or equivalent required - Post-secondary education in Supply Chain, Logistics, or a related field is an asset - WHMIS certification; First Aid / CPR certification is an asset Experience: - 1–3 years of experience in a warehouse, distribution center, manufacturing, or industrial environment in a materials handling or coordinator capacity - Hands-on experience with picking, kitting, staging, receiving, or shipping activities in a fast-paced operational setting - Experience in a licensed cannabis or regulated industry (pharmaceutical, food & beverage, CPG) with exposure to GMP or GPP standards is an asset - Forklift certification (counterbalance and/or reach truck) is an asset Knowledge, Skills and Ability - Working knowledge of warehouse management systems (WMS) or ERP platforms and handheld scanning devices; able to learn new systems quickly - Solid understanding of inventory principles including FIFO/FEFO, lot tracking, and material verification - Basic proficiency in Microsoft Office, particularly Excel, for record-keeping and data entry tasks - Strong attention to detail with the ability to execute repetitive tasks accurately under tight production timelines - Strong organizational skills with the ability to manage multiple tasks and shifting priorities throughout the shift - Valuable verbal and written communication skills in English; bilingual (English/French) is an asset - Compliance mindset – takes GMP, GPP, and cannabis handling requirements seriously and follows SOPs consistently - Eligible to obtain and maintain a valid Health Canada security clearance (RCMP Criminal Record Check) as required under the Cannabis Act Physical Requirements - Ability to lift 40–50 lbs regularly; occasional heavier lifting with assistance or mechanical aids - Ability to stand, walk, bend, reach, and lift for the full duration of the shift in a warehouse and production environment - Regular operation of material handling equipment including pallet jacks, hand trucks, and forklifts (if certified) - Must be available for partial weekend work and overtime during peak production periods or inventory events Life at Village Farms We believe It Takes A Village ® and we mean it.
