Job Description Position Summary The Public Relations Coordinator provides comprehensive administrative and coordination support to the Public Relations team. This role is primarily responsible for meeting coordination, minute‑taking, documentation management, scheduling, and administrative support related to events and stakeholder communications. The position ensures the smooth day‑to‑day functioning of the team through strong organizational skills, attention to detail, and timely follow‑up, while upholding theMission, Vision, and Values of The Salvation Army.

Key Accountabilities

Provide day‑to‑day administrative support to the Public Relations team, including scheduling, correspondence, and document management.

Coordinate meetings by preparing agendas, taking accurate and detailed minutes, and distributing follow‑up materials in a timely manner.

Maintain organized records, files, and documentation to support team activities and compliance requirements.

Support Advisory Board and committee meetings by coordinating logistics, tracking action items, and maintaining meeting documentation.

Serve as a first point of contact for inquiries via phone and email, ensuring professional, timely, and courteous responses.

Process invoices, expense claims, and related documentation in accordance with financial policies and procedures.

Maintain team calendars, track key dates and deadlines, and flag upcoming submissions or deliverables.

Assist with basic event budget tracking and reconciliation as required.

Provide general administrative and clerical support as needed to support team workflows and priorities.

Skills and Education

Post‑secondary diploma (2–3 years) in Office Administration, Business Administration, or a related field

or

an equivalent combination of education and relevant administrative experience.

Minimum of three (3) years of experience in an administrative assistant, office administration, or customer service–focused role.

Previous experience with meeting coordination and minute‑taking is strongly preferred.

Strong administrative, organizational, and time‑management skills with the ability to manage multiple priorities in a fast‑paced environment.

Proven ability to take clear, accurate, and professional meeting minutes.

Excellent verbal and written communication skills.

High attention to detail and accuracy in documentation and data handling.

Proficient in Microsoft Office applications, particularly MS Word, Outlook, and Excel.

Professional, diplomatic, and service‑oriented approach when responding to inquiries or sensitive issues.

Strong problem‑solving skills and the ability to work independently with minimal supervision.

High standards of integrity, discretion, and confidentiality.

Flexible, reliable, and able to meet deadlines, including occasional work outside of regular business hours.

Ability and willingness to support and uphold The Salvation Army’s Mission, Vision, and Values.

Compensation The target hiring range for this position is $52,811.20 to $65,998.40 with a maximum of $79,206.40.

Placement in the salary range will be based on factors such as market conditions, internal equity, and candidate experience, skills, and qualifications relevant to the role.
