Working under the general supervision and guidance of the Supervisor, Health Information/Records Management, this position provides operational administrative support for the HI/RM, Health Information Management. Within a team environment the incumbent is responsible for performing activities which directly support the security, maintenance and integrity of the patient record through the life cycle regardless of medium (electronic and/or paper). Essential functions of the position: Prepares legacy records to upload into Connect Care by running chart pull lists, retrieving charts, prepping, scanning and validating the health record. This position also supports the life-cycle management of scanned documents. This position has a high degree of attention to detail and performs auditing and remediation on documents or records scanned by Connect Care users. May processes or assist with requests for patient information following Health Shared Services HIM Access & Disclosure guidelines. Acts as reception greeting and assisting staff, public and patients. Assists with Verification and Validation of discharged records; deficiency management and physician curtailment activities; preparing, sending and recalling charts from off-site storage. As an Administrative Support III, you will require advanced administrative or specialized skills and knowledge to support complex procedures, practices and initiatives within a department or program. Completion of Grade 12 or equivalent. Medical Terminology Certificate required with testing prior to interview (60% pass). Typing speed of 40 wpm required with testing prior to interview. Strong computer skills including proficiency with Microsoft Office programs (Word, Excel, and Outlook) required. Ability to maintain confidential information. Must be able to set and organize own work priorities and adapt to change. Must be able to work concurrently on a variety of tasks/projects in an workplace that may be stressful with individuals having diverse personalities and work styles. Team player with demonstrated ability to work within a team environment, modeling behaviors that support and contribute positively to team operations and working relationships. Ability to work independently with minimal supervision. Must be physically able to perform duties involving standing, sitting, bending, reaching and stretching for extended periods of time. Must be able to lift/push/carry up to 50 lbs. and be able to push and pull charts out of mobile shelving. Performs all functions with a high degree of accuracy and maintains or exceeds established productivity standards. An excellent attendance record, reliability and personal suitability must be demonstrated through employment, interview and references. Equivalent combination of education and experience may be considered. Applicants selected for an interview will be required to take the typing and medical terminology tests. Post-secondary education applicable to position: MOA/Unit Clerk/Admitting Clerk preferred. Two (2) years related experience in a hospital or medical office setting preferred. Experience with computer applications common to Health Records (eg: Connect Care, PowerTrac, PowerMonitor, eMon, Netcare, PCIS, VAX) preferred. Experience working with health record filing systems. Health Information Act (HIA), Access to Information Act (ATIA), and Protection of Privacy Act (POPA) preferred. Apply on Kit Job: kitjob.ca/job/2outjx
