Position Summary This is a junior accounting/administration support role focused on assisting with vendor invoices, credit card transactions, billing support, and general office administration. The position supports the accounting team and service department by ensuring information is accurate, properly approved, and entered correctly into company systems. About the Role: This position requires a high level of responsibility and attention to detail, as the accuracy of financial information is critical. It is ideal for someone who is reliable, organized, and eager to learn. The successful candidate will be comfortable picking up new processes quickly and contributing to a team-focused setting. Training and ongoing guidance will be provided. Main Duties Vendor Invoice Processing - Receive and organize vendor invoices - Ensure invoices have the required approvals before processing - Enter approved invoices into the company application and Sage accounting software - Check invoices for accuracy (vendor details, amounts, dates, taxes) - Flag missing information or discrepancies for review - Maintain organized and accurate invoice records Credit Card Transaction Support - Assist with processing credit card transactions - Match receipts and supporting documents to transactions - Help ensure records are complete and accurate - Follow established processes for documentation and approvals Billing & Service Department Support - Assist with invoicing service work orders - Ensure billing details are complete and accurate before invoicing - Work with internal staff to gather missing or unclear information - Support the billing process to ensure it runs smoothly - Assist in the preparation of supporting documents required for Project progress billing Administration Support - Assist in managing office systems (Phone system, alarm system, etc) Data Cleanup & Accuracy - Assist with reviewing and cleaning up existing records and databases - Help correct errors or inconsistencies in data - Learn and follow established data standards and processes - Maintain organized digital and paper records Reception Duties - Provide general office and reception support as needed - Greet visitors - Assist with basic administrative tasks and filing Skill Set - Very detail‑oriented and accurate - Reliable and dependable - Willing and able to learn - Comfortable following instructions and established processes - Organized and able to manage routine tasks consistently - Observant and able to notice errors or inconsistencies Requirements - High School Diploma - Knowledge of basic accounting practices - Accounting software knowledge (Sage 50 an asset, but will train) Job Types: Full-time, Permanent Pay: From $22.00 per hour Expected hours: 40.0 per week Benefits: - Company events - Dental care - Extended health care - On-site parking - RRSP match Application question(s): - Describe a time when you caught an error that others missed.
