This role is in-person at North Campus Edmonton. Reporting

Reporting to the Department Coordinator, this position is critical to the delivery of the Physical Therapy Teaching Clinic in the Department of Physical Therapy and primarily responsible for the administration and operation of the Physical Therapy Teaching Clinics. Administrative responsibilities

Responds to patient/family member email and phone inquiries Schedules patients’ appointments for the various types of clinicians/programs operating within the Teaching Clinic umbrella (student clinic, new grad clinic, ACE, etc.) Manages referrals and contacts patients for scheduling Manages the clinic waitlistRegistration of patients and coordination of materials for group classes/programs Collects treatment fees and third-party billing, and issues receipts Liaises with the Department coordinator for deposits and maintains financial records Coordinates access for students and clinicians to the scheduling and documentation system and exercise prescription softwareCoordinates with the clinical supervisors and students to ensure that scheduling meets the needs of placement requirements Responds to requests for chart copies and other requests from patients, insurers, and healthcare providers (in collaboration with clinicians) Coordinates requests for WCB and MVA reports from insurers and third-party payersCommunicates with medical offices to obtain relevant documents for patient care Collaborates with the clinic PTA and Department coordinator to track the use of clinic supplies and equipment Coordinates with the Faculty office to arrange for periodic clinic cleaning Maintains patient and clinic files, filing systems and databases under the direction of the clinicians and/or clinic operations leadSupports students and clinicians during emergency preparedness activities Assists in arranging booking space for clinic programming Assists in arranging for remote delivery of services via Zoom Actively participates in policies and procedures aimed at creating a safe and affirming practice environmentSupports patients and community members in accessing the teaching clinic spaces Offers superior interpersonal skills to develop and build positive patient, student, and co‑worker relationships Clinic operations and student orientation

Assists in the orientation of new students on the clinic documentation and scheduling system Supports special teaching clinic projects (e.g. WCB contracts, third‑party billing) Assists the teaching clinic leadership in generating reports Contributes (or leads) to the development or updating of teaching clinic policies and proceduresMeets regularly with the teaching clinic leadership group and the department coordinator to discuss issues and challenges associated with teaching clinic work or the working environment Department service responsibilities

Participates in relevant departmental service activities, when required (e.g. staff meetings, teaching clinic meetings&strategic planning) Qualifications

Medical Office Assistant Diploma or equivalent At least 1 year of work experience in a private physical therapy clinic (preferred) or a physician's office Excellent organization and interpersonal skills Proficient in Microsoft Office Suite, Google Docs/Sheets/Forms, and electronic scheduling and documentation softwareAttention to detail and performs duties with accuracy, tact, and maintains confidentiality Knowledge of the University of Alberta procedures and processes would be an asset Benefits
