We are growing and looking for talented people to strengthen our dynamic team. Reporting directly to the Principal / Creative Director, the Office Manager / Operations Admin is the operational backbone of our South Edmonton office. This senior, multi‑hat role combines administrative leadership, accounts receivable, client account management, light project coordination, and hands‑on involvement in day‑to‑day work such as basic WordPress updates, SEO support, and AI‑assisted workflows. Key Responsibilities
Office & Operations Management
Coordinate office activities and day‑to‑day operations to ensure efficiency and compliance with company policies Track and order office supplies, manage couriers, and handle reception duties as required Maintain filing systems, records, and databases (personnel, financial, client, project) Plan and coordinate internal meetings, track time, and follow up on action items
Accounts Receivable & Bookkeeping Support
Create and send client invoices and receipts Track payments, follow up on outstanding A/R, and work with external bookkeeping services to keep records accurate Update spreadsheets and time entries as needed Track and consolidate office expenses Submit timely reports and assist with scheduled financial summaries
Client Account Management & Support
Serve as primary point of contact for clients on day‑to‑day matters Receive, log, and triage client update requests Assist clients with lightweight WordPress edits (text, images, simple page updates) Coordinate with SEO, design, and development teams to ensure client requests are completed on time Communicate clearly and professionally with clients via email, phone, and meetings
SEO & Digital Marketing Support
Assist the SEO team with routine tasks (reporting, content uploads, on‑page updates, keyword research support) Use AI tools to draft content, summarize information, and streamline workflows Help maintain client SEO documentation and reporting
Executive & Administrative Support
Provide administrative support to the Principal / Creative Director, including calendar management, correspondence, and prioritization of incoming requests Write and distribute internal and external correspondence (emails, memos, letters, proposals) Assist in preparing presentations, proposals, and reports Handle confidential and sensitive information with discretion and valuable judgment Coordinate travel arrangements as requested
General
Assist colleagues across departments when operational requirements dictate Take on additional duties and special projects as the company evolves
Required Skills & Qualifications
Minimum 2 years of experience in office administration, operations, executive support, or a similar role in a fast‑paced environment Demonstrated experience with bookkeeping and/or accounts receivable (invoicing, payment tracking, A/R follow‑up) Comfort making light updates to WordPress websites (editing pages, posts, images, basic content) Working familiarity with AI tools (ChatGPT, Claude, Gemini) and a willingness to use them daily Strong working knowledge of Google Workspace (Gmail, Drive, Docs, Sheets, Calendar) is essential Excellent written and verbal communication skills — spelling, grammar, and tone matter Proven organizational and time‑management skills, with the ability to multitask and prioritize a varied workload Ability to handle sensitive and confidential information with discretion Proactive problem‑solver with strong decision‑making capability and the ability to work with little supervision Excellent interpersonal skills and the ability to build trust with clients, vendors, and team members High school diploma required; BSc/BA in office administration, business, marketing, or a related field is preferred Considered an Asset
Experience in an agency, marketing, or creative services environment Background in SEO, digital marketing, or content writing Experience with social media management Web design, graphic design, or visual content creation skills Google Ads or Google Analytics certification Experience with Canva, Adobe Creative Suite, Figma, or similar design tools Professional writing experience (salaried or freelance) Familiarity with project management tools (Asana, Trello, ClickUp, Monday, etc.) Familiarity with accounting/invoicing software (QuickBooks, Xero, FreshBooks, etc.) We Offer
