The Justice Supports and Services Division of the Department of Justice offers Nova Scotians access to critical programming and support. Programs include the Maintenance Enforcement Program, the NS Restorative Justice Program, and Victim Services, which support victims of crime throughout the justice system.Job Summary
Assist in delivering services to victims of crime by providing secretarial and administrative functions for the Provincial Victim Services Program and supporting regional and head office staff in a fast‑paced environment. Key Responsibilities
Answer the main phone line, prepare correspondence, and manage a database. Provide front‑desk coverage, directly contact the public, victims of crime, and justice partners to navigate them to the appropriate service. Prepare statistics on a spreadsheet, code block invoices for signature and payment for regional offices.Book new and recurring meetings (in person and virtual); open, prepare, and distribute mail. Maintain an electronic filing system; order office supplies and print material. Prepare quotations for off‑site training events; take minutes for meetings. Maintain the regional office general e‑mail account; support the administrative assistants in the regional offices and head office.Qualifications and Experience
Successful candidates will have: One year of secretarial or commercial coursework supplemented by three years of related secretarial experience, including experience dealing with traumatic events. An equivalent combination of training and experience may be considered. Proficiency in typing, word processing, and other standard computer applications such as Microsoft Word, Excel, Outlook, and internet use.Ability to multi‑task, prioritize work, and manage electronic filing systems. Strong organisational skills, effective verbal and written communication, and the ability to work independently. Sensitivity to clients’ needs and the ability to exercise discretion and confidentiality. Knowledge of the Justice Enterprise Information Network (JEIN), issues impacting victims, and work experience in the criminal justice system are assets. Trauma‑informed training and bilingualism (English and French) are also considered assets.Working Conditions
Relief employees fill gaps and replace full‑time employees as operational requirements demand, typically working between 8:30 AM and 4:30 PM. Hours may vary. May be required to work overtime on occasion. High stress level due to the nature of the work and the confidential information exposed. High demand for accuracy and attention to detail while working in a complex service area.Relief assignments are on an as‑needed basis; no guaranteed hours. Benefits
