The Hamilton LRT Alliance has been selected by Metrolinx as the development partner for the Hamilton LRT – Package 1: Civil & Utilities. Under the alliance model, Aecon provides construction capability and resources as part of an integrated team, working collaboratively with all alliance participants to progress design, cost, and construction schedules during the project’s development phase. Reporting to the Senior Manager, Procurement and Subcontract, the Procurement Specialist, Subcontracts will support the Hamilton HLRT project. The Procurement Specialist will be responsible for providing support to the Senior Manager for all phases of subcontract and vendor coordination. What You’ll Do Here - Prepare and manage major subcontract procurement planning using Path to Award Tracker. Conduct weekly meetings to update Path to Award with operations to provide visibility on package status. - Assist operations in preparing and documenting proponents lists for RFQ packages ensuring inclusion of preferred and Indigenous vendors. - Establish and maintain the Subcontract filing system as per the Project standard. Provide guidance to operations on filing structure use and requirements. - Prepare commercial documents and collect technical documents for RFQ packages. Ensure the execution of NDAs for new packages and file in project repository. - Coordinate with other disciplines within project team including safety, quality, environmental, Integrated Digital Delivery (IDD) to pull in relevant information in the preparation and evaluation of RFQ packages. - Send out and manage RFQ communications/addendums using approved software for the project. - Set up, chair and document bid clarification meetings with shortlisted proponents. - Prepare initial commercial evaluation & recommendation documents for review with operations team members. - Complete operational and financial due diligence as required on shortlisted bidders through running, analyzing and interpreting Dun & Bradstreet reports. - Understand standard terms and conditions included in our standard contract templates to manage negotiation of terms and conditions with proponents and liaise with legal department as required. - Form subcontract documents to be issued for signature. Manage collection of both internal and external signatures and ensure executed documents are saved in project folder repository. Collect all preferred proponent supporting documentation including insurance, WSIB, Form 1000 and performance securities (where applicable). - Set up, chair and document kick‑off meetings with successful proponent and internal disciplines prior to mobilization to site. - Ensure set up of commitments in SAP for executed Subcontracts in compliance with Aecon Procurement Plans and Policies. - Ensure compliance with project Procurement Plans and Subcontract Standard Operating Procedures (SOPs). - Hand off package to contract administrator in documented hand‑off meeting. What You Bring To The Team - 5–8 years of procurement or relevant experience within the construction and infrastructure industry. - Knowledge of purchasing principles, techniques, practices and ethics. - Knowledge of contract law, negotiating business agreements, and laws of requesting tenders, proposals, and quotations. - Proven organizational skills and ability to work under pressure to meet deadlines and handle multiple tasks within a fast‑paced work environment. - Ability to work effectively within a team environment and be service oriented. - Ability to build positive working relationships with professionals within industry and internal clients. - Demonstrated strong negotiation skills in areas with respect to terms & conditions, pricing, escalation. - Ability to communicate effectively, manage challenging negotiations with Subcontractors and advance oral and writing skills. - Solid research skills and commitment to continually learn about current products. - Attention to detail, mathematical and analytical skills. - Intermediate proficiency using Microsoft Office (Excel, Outlook, Word, PowerPoint) and SAP (Procure to pay). - Construction & Engineering background preferred. - Experience in infrastructure project preferred.
