Description
Job Summary We're a Vancouver-based wholesale pet products company carrying pet lifestyle brands. We are looking for a reliable, detail-oriented, and organized Administrative Assistant / Sales Support Coordinator to join our team. The ideal candidate will support daily office operations, order processing, customer communication, invoicing, inventory-related paperwork, and basic sales support. This role is suitable for someone who enjoys working in a small business environment, can communicate professionally with customers, and is comfortable handling multiple tasks accurately. Responsibilities Process customer orders and enter order information accurately into our system. Prepare invoices, packing slips, price lists, and other sales-related documents. Respond to customer emails and phone calls in a professional and friendly manner. Follow up with customers regarding orders, payments, delivery status, missing information, and product availability. Support the sales team with customer communication, product information, and order follow-up. Assist customers with our wholesale portal, account registration, and basic order questions. Maintain organized digital and physical records, including customer files, order forms, invoices, and shipping documents. Coordinate with warehouse, sales, and management team members to ensure smooth order processing and delivery. Assist with basic bookkeeping support, invoice checking, payment follow-up, and document preparation. Use Microsoft Office, Google Workspace, QuickBooks, and other company systems for daily administrative work. Help prepare product information, price lists, customer forms, and simple reports. Perform general office administrative duties as needed. Qualifications Previous administrative, office, customer service, or sales support experience preferred. Strong attention to detail and accuracy in data entry and order processing. Good written and verbal communication skills in English. Professional phone manner and customer service attitude. Comfortable using Microsoft Office, Excel, Outlook, Google Workspace, and QuickBooks. Ability to learn new software and online order systems quickly. Well-organized and able to manage multiple tasks in a busy small business environment. Reliable, responsible, and able to work independently after training. Experience in wholesale, distribution, retail, pet products, or e-commerce is an asset. Interest in pets or pet products is a plus.
