The successful candidate will act as a trusted business partner to multiple executives across two regions, providing proactive, high-level administrative support while managing shifting priorities, complex scheduling, and executive operations with professionalism, discretion, and sound judgment.
Duties include but are not limited to:
Act as a strategic gatekeeper by managing incoming communications, prioritizing requests, and ensuring timely follow-through on executive priorities
Provide senior-level administrative support to a multi-executive leadership team located across two Canadian offices and time zones
Manage highly complex executive calendars, including scheduling, conflict resolution, meeting optimization, and coordination across multiple stakeholders
Coordinate complex domestic and international travel arrangements, including itineraries, accommodations, contingency planning, and travel-related logistics
Prepare executive-level correspondence, presentations, briefing notes, reports, agendas, and confidential documentation
Support executive meetings through agenda preparation, minute-taking, action item tracking, and follow-up coordination
Manage executive expense reporting and approvals while ensuring compliance with organizational policies and timelines
Maintain electronic and physical records management systems, including secure document handling and retention processes
Coordinate office operations, supplies, and administrative processes to ensure a highly efficient executive office environment
Build strong working relationships with internal stakeholders, leadership teams, and external contacts while maintaining professionalism and confidentiality
Provide proactive support within a highly operational environment where priorities may shift quickly due to changing business or operational demands
Work collaboratively with a second Executive Assistant to ensure seamless executive support coverage
About You
5+ years of senior-level Executive Assistant experience supporting executive leadership or C-suite teams
Post-secondary education in a related field or an equivalent combination of education and experience
Exceptional organizational, prioritization, and time-management skills
Demonstrated ability to manage multiple competing priorities in a fast-paced and operationally driven environment
Extensive experience coordinating complex executive travel, scheduling, and meeting logistics
Advanced proficiency within the Microsoft 365 environment, including Word, Excel, PowerPoint, OneNote, Outlook, and SharePoint
Strong business writing, proofreading, and communication skills
High degree of professionalism, discretion, judgment, and executive presence
Strong interpersonal and relationship-building skills with the ability to work effectively across all levels of an organization
Ability to work independently, anticipate needs proactively, and remain calm under pressure
The ability to work effectively with varying personalities and leadership styles
Long-term interest in pursuing an Executive Assistant career path
Must be eligible to obtain a Restricted Area Identity Card (RAIC/RED Pass)
About the Job
Location: Ottawa, ON
Work Arrangement: Onsite
Hours: 40 hours per week (typical hours are approximately 8:00 AM– 4:30 PM, with occasional flexibility required beyond standard business hours)
Salary: $68,792 - $85,490 annually
