Position Summary The Penske Maintenance Coordinator position is focused on managing inventory and administrative processes of the branch(es) that support maintenance operational efficiency, effectiveness, customer satisfaction, and profitability.
Location 2323 Stevenage Dr, Ottawa, ON K1G 3W1
Schedule Monday-Friday 12:00PM - 8:30PM
Pay Rate $25 - $28/hr + $3 Shift Premium
Contract Length 1 Year
Major Responsibilities
Full oversight of inventory productivity at the branch(es) for timely service support while mitigating risk of inventory loss.
Maintain optimal inventory levels through ordering parts according to sourcing procedures, ensuring suppliers deliver defect‑free and on‑time purchases by partnering with Centralized Parts Ordering daily.
Receive and store parts in an organized and easily accessible manner; update PartsNet timely and conduct frequent inventory cycle counts to ensure parts are available when needed.
Manage both new and used battery inventory and maintain an adequate stock of tires in the correct quantity and specifications.
Ensure warranty items are shipped and received on time; follow up on returns and warranty claims in partnership with the warranty department.
Partner with the Customer Service Coordinator to schedule repairs as parts become available.
Provide vendor support and accountability, ensuring payments are processed correctly.
Process Analytics
Perform process analyses and reviews in areas such as inventory, maintenance profitability, warranty campaigns, cycle counts, and return‑on‑sale reviews, recommending solutions to mitigate profitability risks.
Use systems such as ServiceNet or AS400 to understand operational dynamics, problem‑solve, and improve processes.
Other Responsibilities
Support the branch financial manager by providing guidance and information that contributes to branch performance and profitability.
Execute projects and tasks assigned by the Branch Financial Manager and District Financial Manager.
Qualifications
High school diploma or equivalent required; degree preferred.
Interpersonal and relationship‑building skills to collaborate with branch team members.
Competent written and verbal communication skills.
2+ years of customer service and operations experience required; 2+ years in a service and parts department preferred.
Agile, quick learner who enjoys collaborative projects and continuous education.
Advanced computer skills, including Microsoft Word, Excel, Outlook, and PowerPoint.
Regular, predictable, full attendance is an essential function of the job.
Willingness to travel as necessary, work the required schedule, work at the specific location required, complete the Penske employment application, submit to a background investigation (including past employment, education, and criminal history), and pass a drug screening.
Physical Requirements
Must be able to read, communicate verbally and/or in written form, remember and analyze certain information, and understand instructions.
Must be able to stand, walk, sit, touch, handle, reach with hands and arms, and occasionally lift or move up to 25 lbs (12 kg).
Specific vision abilities required: close vision, distance vision, peripheral vision, depth perception, and the ability to adjust focus.
