Description

As Executive Assistant to the CEO, you will be responsible primarily for the personal and administrative support of the CEO.

Responsibilities include:

- Receiving and managing calls at the Reception desk;

- Scheduling meetings and conference calls;

- Planning travel arrangements for office staff, as well as for production crew;

- Organising meetings at major film events ;

- Coordinating calls with between various partners, clients, producers, agents, financiers, writers and other parties related to film and TV production;

- Handling couriers and mail;

- Drafting business letters;

- Working on miscellaneous projects related to film and TV productions;

- Maintaining the appearance and organisation of the office (stationery, supplies, printer, copier, coffee machine etc.);

- Acting as an all-round administrative assistant to relieve other executives and staff.

- Acting a personal assistant to the CEO.

The position will be from Monday to Friday, 9am to 6PM but you will be expected to be available after hours by phone and email.

Bilingualism (English and French) is a requirement.

Salary is to be negotiated subject to qualifications and experience.

En tant qu’Adjoint(e) Exécutif)ve) à la Chef de la direction, vous seriez principalement responsable pour le soutien personnel et administratif de la direction.

Le poste inclus les responsabilités suivantes :

- Réception et gestion des appels téléphoniques;

- Céduler les rencontres et appels conférences;

- Planification des itinéraires de voyage du personnel du bureau, ainsi que les membres de l’équipe des productions.

- Organiser les rencontres aux évènements majeures de l’industrie;

- Correspondre à l’orale et à l’écrit avec des producteurs, banquiers, avocats, réalisateurs, agents, écrivains, et toute autre personne étant relié à la production;

- Télécopie, photocopie et scannage de documents;

- Écrire des lettres d’affaires;

- Des projets divers selon besoin de chaque production;

- Maintenir l’apparence et l’organisation du bureau et de la réception (papeterie, stock, imprimante, photocopieuse, machine a café etc…)

- Service d’assistant (e) personnel auprès de la Chef de la direction.

Bilinguisme (français et anglais) est requis.

Le salaire sera négocié selon vos qualifications et expérience.
