Service Advisor & Customer Experience Coordinator Be the first face customers see and the one that keeps everything running behind the scenes. This role is the hub of the service department, combining front desk reception, service writing, and administrative support. You will create a smooth, professional customer experience while supporting service operations and assisting the sales and parts teams when needed. Key Responsibilities Front Desk and Customer Service - Greet customers in person and over the phone in a friendly, professional manner - Direct calls and inquiries to the appropriate departments - Answer questions and provide updates on service work - Maintain a clean, organized, and welcoming front desk and showroom - Builds and promotes a strong "Team and One Enterprise" approach to all employees Service Writing and Coordination - Create work orders using the "Standard Work Order Process" - Open, update, and close work orders accurately and efficiently - Communicate with customers about service progress, completion, and invoicing - Review invoices, post outside vendor costs, and ensure work orders are ready for billing - Track equipment deliveries, pickups, and service logistics - Assist with scheduling work and supporting technician workflow Payments, Billing and Sales Support - Process customer payments including cash, debit, and credit and balance transactions - Assist with accounts receivable follow-ups and outstanding invoices - Support the sales team with deposits, customer updates, and documentation - Help ensure all work orders are billed accurately and on time Administrative and Team Support - Maintain service files, records, and customer profiles - Order and manage office and service department supplies - Assist with payroll preparation, vacation tracking, and reporting - Help coordinate training, meetings, and team events - Provide backup reception support and assist other departments as needed - Proactively seek and participate in available company-sponsored training, in an effort to develop and advance knowledge base and skill set - All other duties as assigned by Service Manager Requirements - Robust customer service and communication skills - Highly organized with the ability to multitask in a fast-paced environment - Ability to problem solve and effectively resolve conflicts - Comfortable using computers including Microsoft Office and service systems - Basic accounting or cash-handling experience is an asset - 1-3 years of service writer or administrative experience preferred - Mechanical or agricultural familiarity is an asset - Office and front desk setting with frequent customer interaction - Lifting up to 25lbs is required - Fast-paced, especially during peak seasons - Combination of sitting, standing, and computer work - Ability to work individually and as part of a team - Occasional overtime or weekend work may be required Reasons to JoinWestern Tractor! - We keep our teamcurrent by investing twice as much in training as any other JD dealer in Southern Alberta bothinside and outside of our dealership. - Sponsorship to practice your skills and earn on-the-job hours toward your Apprenticeship or Journeyperson designation - Comprehensive benefits package including an employer matched Registered Retirement Savings Plan. - We understand the importance of work-life balance and provide paid time off beginning at 3 weeks in your first year of employment. - A competitive compensation scale, incentive programs, and advancement opportunities. - We provide you with state-of-the-art agriculture equipment and technology to do your job. - And much more!
