The Middlesex-London Health Unit has an exciting opportunity for one temporary part-time Client Service Representative to fill an existing vacancy until June 2027 on the Corporate Communications and Client Relations Team in the Corporate Services division located at Citi Plaza in London, ON. KEY RESPONSIBILITIES: Under the direction of the Manager, Corporate Communications and Client Relations, the successful candidate will: - Operate as the first point of contact for callers and visitors to the Middlesex-London Health Unit; - Demonstrate extensive knowledge of the Middlesex-London Health Unit and its role in the community and a solid understanding of the programs offered by each division; - Direct calls from the public to the appropriate program areas when questions require triage to a tier two level; - Respond to or triage incoming messages from the community from the general MLHU email address; - Collect and document client data. Operate MLHU specific and Ministry databases to input and retrieve data related to client care; - Book appointments, run routine reports, file documents, and maintain records of activity; - Photocopies, collates and compiles documents as required to support client care. - Mail out packages, accept small deliveries, and coordinate courier pickups. - Facilitate correspondence with community partners, maintain databases, respond to and/or triage questions, and coordinate service delivery documentation with internal program teams; - Explore options and solutions and then make recommendations to the Manager regarding evolving issues or the needs of the staff, clients and visitors you interact with; - Manage visitor sign-in and the distribution of visitor passes; - Develop and maintain documents, resources, procedures and forms, and; - Perform other duties as assigned. QUALIFICATIONS: - Post-secondary program in administrative studies of at least 6 months duration - More than one year of previous experience providing administrative support to a professional or human service organization (medical office or clinic) - Demonstrated ability to enter data into databases with a high level of accuracy and speed in a professional environment - Strong interpersonal, communication, and problem-solving skills to provide excellent customer service and work effectively with clients, team members and community partners - Ability to do self-directed work and to work well with team members - Proficiency in computer applications, including Microsoft Office, Ministry applications, etc. - Ability to take initiative, prioritize work and balance competing work demands - Ability to work three days per week with schedule flexibility. (A part-time employee is an employee who works a minimum of three (3) hours to a maximum of twenty-eight (28) hours per week) - Strong knowledge of all the services provided at the health unit - Experience with vulnerable populations and supporting client needs related to public health - Demonstrated commitment to contributing to a positive workplace environment - Preference for candidate with skills, knowledge, and demonstrated experience working with a diverse population in a demanding environment, and an understanding of health equity, diversity, and inclusion - Communication proficiency at the intermediate level (written and verbal) in French and/or any other language is considered an asset The salary rate for this position ranges from $28.24 to $35.30 hourly based on qualifications and experience.
