What we are looking for:
This is a split role that supports both our existing Human Resources and Accounts Payable roles, requiring a balance of people-focused work and transactional financial responsibilities. The role places a strong emphasis on Accounts Payable, with responsibility for managing day-to-day accounting and administrative tasks such as creating invoices, processing vendor payments, receipt tracking and maintaining accurate financial records. The individual will also assist with month-end close activities, reconciliations, and reporting, while contributing to the review, documentation, and streamlining of existing AP processes. In parallel, the role will provide operational support to the Human Resources function, assisting with employee-related administration, compliance, recruitment and internal processes as needed.
Details of the Role:
- Establish and maintain relationships with new and existing vendors
- Ensure bills are processed for internal approval and paid in a timely and accurate manner
- Prepare transaction entries, account reconciliations and assist with monthly close processes
- Match deposits from payment gateways to customer invoices
- Perform bank reconciliations
- Reconcile the accounts receivable/payable ledger to ensure that all payments are accounted for and properly posted
- Maintain records in Quickbooks Online
- Support Human Resources with timesheets and time off approvals
- Support Human Resources with onboarding, tax forms and policies & procedure management
- Ensure company policies, procedures, and practices remain compliant with all applicable federal and provincial regulations
- Support audits and maintain accurate records to ensure compliance with regulatory requirements
- Partner with legal counsel or external advisors as needed to mitigate risk and ensure adherence to evolving laws
- Assist the Director of Finance and Human Resources as needed
Qualifications and Experience:
- Proficient in Excel (vlookup, hlookup, pivot tables, formulas, etc.)
- Proficient in accounting software, preferably QuickBooks Online
- Proven working experience as accounts payable or receivable specialist or accountant
- Solid understanding of basic accounting principles, fair credit practices and collection regulations
- Proven ability to calculate, post and manage accounting figures and financial records
- Data entry skills
- A diploma/degree in HR or related field
