Dispatcher, Montreal

Job Description: The Dispatcher is responsible for the real-time coordination of a local fleet of trucks handling time-critical and expedited shipments. This role ensures rapid response to customer requests, optimal truck utilization, compliance with DOT regulations, and continuous communication with drivers and customers to meet strict delivery deadlines. Also supporting the entire department by entering inbound shipments into the TMS.

Responsibilities:

- Dispatch & Load Management

• Assign expedited pickup and delivery orders to available trucks based on proximity, equipment type, and driver hours
• Prioritize time-critical freight and adjust routes dynamically as conditions change
• Build and update daily dispatch boards for same-day and next-day deliveries
• Coordinate hot shots, recovery loads, and after-hours emergency moves

- Driver Coordination

• Maintain constant communication with drivers via phone, ELD, or mobile apps
• Verify driver availability, HOS compliance, and readiness before dispatch
• Provide turn-by-turn instructions when needed for urgent pickups
• Monitor driver check-ins, arrival/departure times, and POD submission

- Tracking & Visibility

• Monitor live GPS/ELD tracking for all active trucks
• Proactively identify delays, traffic issues, or service failures
• Provide real-time status updates to customers and internal teams
• Ensure accurate timestamps for pickup, delivery, and detention events

- Customer & Operations Support

• Serve as the primary point of contact for customers during transit
• Communicate ETAs, exceptions, and recovery plans clearly and professionally
• Support billing by validating completed loads and documentation

- Compliance & Safety

• Ensure dispatch decisions comply with DOT Hours of Service regulations
• Document exceptions, delays, and incidents
• Escalate safety concerns or equipment issues immediately
• Maintain dispatch logs and daily activity reports

Requirements & Qualifications:

• High school diploma or equivalent; additional education or training in logistics or related fields is a plus.
• 1+ years dispatch experience (expedited, local P&D, or courier preferred)
• Strong understanding of local routing
• Proficiency with TMS, GPS tracking, and dispatch boards (Excel, Google Sheets, or TMS)
• Proven experience in a customer service role, preferably within the logistics or transportation industry.
• Strong knowledge of domestic trucking operations, including terminology, regulations, and best practices.
• Excellent communication skills, both verbal and written, with the ability to effectively interact with customers and internal teams.
• Exceptional problem-solving abilities and a proactive approach to addressing customer needs and resolving issues.
• Proficiency in computer applications such as MS Office and experience with logistics software or systems.
• Ability to multitask, prioritize tasks, and work efficiently in a fast-paced environment.
• Detail-oriented with a high level of accuracy in data entry and record-keeping.
• Flexibility to adapt to changing priorities and willingness to work occasional evenings or weekends as needed.
• Strong work ethic, reliability, and a commitment to delivering exceptional customer service.

Preferred Experience

• Expedited freight, hotshot, sprinter, or same-day delivery operations
• Experience dispatching 5-15 truck local fleets
• Familiarity with ELD platforms and mobile driver apps
• After-hours or on-call dispatch experience
