Sandstone medical clinic is a referral-based, consultative specialist clinic in Nanaimo, BC, dedicated to providing comprehensive, collaborative Nephrology and Medical care to patients living in Central North Vancouver Island. Our team is qualified, compassionate, and committed to making every patient experience positive and efficient. As our clinic grows, we are recruiting a Part-Time Medical Office Assistant to join our fantastic team.The Role

This is a permanent part-time position for the right candidate. The successful applicant will be a friendly, positive person with an adaptable mindset— a multi-tasker with excellent communication skills and the ability to work in a fast-paced environment. Our team cares for vulnerable and elderly patients in challenging and stressful situations, so the ideal candidate will be patient, compassionate, and able to remain calm under pressure. You must be comfortable working both independently and as part of a close-knit team.Key Responsibilities

Greet and assist patients in a warm, professional, and friendly manner— in person and by phone Provide general reception and front-desk duties Schedule and confirm appointments; manage patient intake and flow Maintain accurate patient records using an Electronic Medical Records (EMR) system Coordinate and manage incoming referrals and clinical correspondenceLiaise effectively with patients, coworkers, and staff from other healthcare agencies Perform general clerical and administrative duties as required Maintain cleanliness and organization of the front desk, waiting, and exam room areas, ensuring rooms are clean and stocked with necessary suppliesWhat We're Looking For

Grade 12 diploma required; graduation from an accredited Medical Office Assistant program strongly preferred Minimum 1 year of MOA or healthcare experience preferred; the right combination of training and administrative experience may also be considered Experience with an EMR system (Accuro preferred) and/or willingness to learn is essentialWorking knowledge of medical terminology and clinical office procedures Excellent communication and interpersonal skills— tactful and effective with patients, colleagues, and external healthcare providers Strong organizational and time-management skills; ability to prioritize, multitask, and meet deadlinesAbility to respond independently and effectively to unexpected or urgent situations Reliable, in-person attendance at our Nanaimo location is required Office Hours

Monday– Thursday: 9:30AM – 3:00PM What We Offer
