Job Title: Medical/Dental Receptionist Location: Newmarket, ON Clinic: Newmarket Oral & Maxillofacial Surgery About Us: We are a team of dedicated surgeons, nurses, assistants, and administrative professionals committed to delivering outstanding patient care. Our fast-paced and busy practice is looking for a professional, organized, energetic, and reliable full-time Receptionist to join our team. While experience in a medical or dental setting is an asset, we are happy to provide training to the right candidate. Key Responsibilities: - Greet patients warmly and manage check-in and check-out procedures - Schedule, confirm, and manage appointments using computerized systems (including Tracker and 8x8) - Handle appointment cancellations and rescheduling requests efficiently - Answer and manage a multi-line telephone system; respond to patient inquiries in a timely and professional manner - Obtain and verify insurance information and breakdowns - Prepare and submit treatment plan predeterminations - Process patient payments and respond to billing inquiries - Manage accounts receivable and maintain accurate financial records - Obtain, maintain, and update accurate medical/dental records in electronic systems - Send reports and correspondence via email, fax, or mail - Perform administrative duties such as scanning, printing, faxing, auditing schedules, and maintaining office supplies - Ensure the reception and waiting area is clean, organized, and welcoming - Communicate effectively with dental staff to coordinate patient care and treatment plans - Use appropriate dental terminology in patient communication and documentation - Provide administrative support to the reception team, administrator coordinator supervisor and surgeons as required Core Competencies: - Positive, upbeat, and professional attitude - Strong customer service orientation - Excellent attention to detail and organizational skills - Effective time management and prioritization abilities - Ability to multitask and work efficiently under pressure - High standard of accuracy and quality in work - Strong verbal and written communication skills - Professional and courteous manner, both in person and over the phone - Proficiency with computers and office software - Ability to maintain strict patient confidentiality - Team-oriented with the ability to take direction and work independently Qualifications & Skills: - Minimum 2 years of experience as a Dental Administrator or in a similar dental/medical office role (required) - Strong knowledge of dental terminology and insurance processes - Experience with Tracker software is preferred - Proficiency in Microsoft Office Suite and general computer skills - Excellent organizational skills with strong attention to detail - Ability to multitask and work efficiently in a fast-paced environment - Self-motivated with the ability to work independently and as part of a team - Solid communication and interpersonal skills - Professional, positive, and empathetic attitude toward patients - Punctual, reliable, and dependable - Proficiency in a second language is considered an asset What We’re Looking For: A dynamic, energetic, and professional individual who is a quick learner and brings strong analytical thinking to support effective teamwork and patient care.
