Description
Reporting To: Education & Family Well-Being Director Overview: The Education Program Assistant is responsible for providing essential administrative support to the Education & Family Well-Being Department while actively assisting with the development and delivery of community programming. This role ensures accurate data and financial tracking, and hands-on support for community and child-focused educational programs. Key Duties and Responsibilities: - Manage departmental emails, phone inquiries, and filing systems. Coordinate and set up physical meeting rooms and Zoom links for programs and meetings. Prepare agendas and take detailed minutes during staff meetings. - Assist with after-school programming and other children's initiatives, including preparing snacks, greeting children from the school bus, and supervising planned activities. Provide support to the child care program as needed (food preparation, lunches, and direct programming support). - Maintain an accurate spreadsheet tracking system for purchase orders and upload invoices to the Sage AP financial system. Obtain vendor quotes and place orders under the direction of management. Participate in introductory financial planning and forecasting for specific program expenses to build foundational budgetary skills. - Assist program staff with statistical tracking and data management for reporting purposes. Scan and organize documents and resources for preservation and archival use; securely shred documents as required. - Serve as a daily point of contact for community members and families as required (such as during parent pick-ups and weekend events). Maintain high confidentiality by safeguarding sensitive client information through password protection and locked filing systems. Treat all staff, community members, and visitors with utmost courtesy, fostering a safe workplace while encouraging the learning, use, and advancement of the Mohawk language.Help organize supplies housed in storage cabinets and shelving units. Maintain a clean kitchen area, discard outdated food items on a daily basis, and ensure common programming areas remain tidy. - Run local errands to pick up groceries, program supplies, or food orders. Participate in internal committees and perform other duties as assigned. Skills Required: - Regular proficiency with standard office equipment and computers. - Strong interpersonal skills to maintain professional relationships with internal and external stakeholders. - Ability to exchange detailed information clearly to ensure full understanding, probe for information, resolve complaints, and handle the relaying of unwelcome information professionally. - Ability to follow established checklists or procedures for routine tasks while demonstrating a healthy level of creativity when supporting program delivery. - Must possess a valid Driver's License. Working Conditions: - Requires standing, bending, crouching, and walking. Occasional lifting or carrying of objects up to 16 kg (35 lbs) is required. On a seasonal basis, physical activity includes loading/unloading vans, lifting canoes, hiking, being in the water, and carrying camp supplies. Daily tasks may involve lifting young children (e.g., to high chairs or change tables) and actively playing on the playground. Education and Experience Requirements: - Grade 12 or CAEC with a relevant Certificate - Minimum of 2 years of experience in office administration, customer service, or program delivery. - Preferably Indigenous work experience. Terms of Employment: This is a full-time position. The salary range for this role is $39,300.00 to $58,700.00 annually. The standard hours of work are Monday to Thursday (8:00 am – 4:30 pm) and Friday (8:00 am – 2:00 pm), with evenings and weekends required as needed for operations.
