We operate as a tightly-knit, supportive administrative team across our offices, and we are looking for a collaborative, high-energy professional to be the face of our Huntsville location. The Role As our Front Desk Listings & Deals Administrator, you will keep our daily operations running like clockwork. You will serve as the primary point of contact for the public, while managing the essential backend paperwork that keeps our real estate transactions moving smoothly. Key Responsibilities - Client Relations: Greet staff, Realtors, clients, and the public with a warm, welcoming presence; manage incoming phone calls and route them efficiently. - Transaction Coordination: Review Listing and Deal paperwork to ensure compliance, accuracy, and proper record-keeping. - Data Management: Input data accurately into our showing systems, MLS system, and cloud-based filing platforms. - Professional Communication: Liaise professionally with Realtors, lawyers, administrative staff, and industry professionals. - Office Operations: Manage office inventory, stock supplies, maintain a tidy office setting, and assist with basic office tech troubleshooting (e.g., Wi-Fi connections, printer setup). - Team Collaboration: Work dynamically with our administration team across other offices to ensure seamless regional operations. What We Offer - Predictable Scheduling: Our schedule is published monthly, so you will always know your shifts 2–4 weeks in advance. - Comprehensive Training: Training begins in early June and is ongoing as required. - Travel Compensation: While based in Huntsville, any required coverage or training shifts at our Gravenhurst or Bracebridge offices will include paid gas and travel time. - Growth Potential: There is a strong opportunity to transition to full-time hours for candidates with relevant real estate administrative experience. Qualifications & Requirements - Experience: No previous real estate experience is required (we will train the right person!), but prior experience in a professional office administrative role is a significant asset. - Traits: A positive, proactive personality, excellent work ethic, and sharp attention to detail. - Availability: Flexibility to work within our hours of operation (Monday–Saturday 9 AM–5 PM, Sunday 10 AM–3 PM), including weekend shifts. - Mobility: A valid driver’s license and/or willingness to occasionally cover vacation shifts at our other Muskoka offices.
