Position Summary Reporting to the Program Manager, Intensive Care Unit, the Clerk provides clerical and reception support to facilitate the day-to-day operations of the ICU and supports patient flow in a high-acuity environment. The Clerk coordinates communication among healthcare team members, completes required documentation and data entry within applicable systems, arranges transfers and appointments as required, prepares and distributes reports, and supports supply and equipment management. The role contributes to an organized, efficient, and safe unit environment in accordance with Hospital policies and procedures. Key Responsibilities Provides general reception services within the Intensive Care Unit, including answering telephones,directing inquiries appropriately, relaying urgent messages promptly, and supporting communicationamong members of the healthcare team. Coordinates and tracks admissions, transfers, discharges, and direct admits, ensuring timelycommunication with the interprofessional team and support departments. Assists with arranging patient transfers, including booking ambulances and coordinating relateddocumentation as required. Performs electronic order entry in the EMR as directed by nursing team, ensuring accuracy and timelyprocessing. Processes physician orders and supports chart assembly and disassembly, ensuring discharged chartsare secured and forwarded to Health Records. Make patient appointments with physicians or services at the request of nursing team members. Assists with receiving, distributing, and storing supplies, equipment, and items brought to the unit inaccordance with unit processes. Maintains the nursing station and reception area in an orderly and organized manner. Demonstrates awareness of and supports the appropriate use and conservation of hospital supplies andequipment, ensuring stock levels are maintained. Updates unit tracking tools and logs (e.g., patient flow boards, internal tracking systems) to supportsituational awareness and patient flow. Performs photocopying, faxing, and other routine clerical tasks as required. Submits maintenance or support requests as required and participates in assigned unit safety checks. Supports communication with families and visitors in accordance with ICU visitation policies, referringclinical matters to nursing or medical team as appropriate. Adheres to hospital policies related to confidentiality, privacy legislation, professional conduct, andinfection prevention practices. Supports the Resource Nurse and Program Manager as assigned. Performs other duties as may be assigned by the direct manager and/or designate. Qualifications Education Ontario Secondary School Diploma or equivalent is required Successful completion of a Medical Terminology course required. Completion of relevant post-secondary program is preferred (such as Medical Office Administration) Experience Minimum of one (1) year experience working in a clerical/administrativerole required. Preference given to candidates with previous acute care experience. Skills and Traits Keyboarding skills; minimum of 40 words per minute required. Must be able to meet the physical and emotional responsibilities of the role,including standing and walking for extended periods, frequent andrepetitive pushing, pulling, bending, and lifting up to 50 pounds, as well assafely operating equipment. Ability to meet the physical demands of the position, as outlined in the Physical Demands Analysis (PDA). Demonstrates proficiency in written and verbal communication, with stronginterpersonal and organizational skills. Provides excellent customer service and contributes positively to teamworkand collaborative working relationships. Effectively prioritizes workload, adapts to changing priorities, and remainscomposed in fast-paced or stressful environments. Works independently with sound judgment, while remaining flexible to meet departmental and organizational needs.
