Location: Oro-Medonte, ON (North of Barrie) Job Type: Full-time / Part-time Schedule: Monday to Friday, Day Shift, Weekends as Required – 25-30 Hrs/Week + more during peak times Work Location: In Person Position Summary We are seeking a motivated and detail-oriented Inside Customer Service / Office Administrative Assistant to join our team in Oro-Medonte, Ontario. This role is ideal for an individual who thrives in a fast-paced environment, enjoys customer interaction, and possesses strong organizational and administrative skills. The successful candidate will support daily office operations, assist customers and auction participants, manage data entry and payment processing, and ensure accurate documentation and communication throughout the auction process. Key Responsibilities Customer Service & Office Support - Greet customers and visitors in a professional and friendly manner - Answer incoming phone calls and respond to customer inquiries - Explain auction terms, conditions, and bidding procedures to customers - Direct customers to the appropriate department or staff member as needed Administrative & Data Entry - Track consignments arriving at the yard - Enter and update consignment information in Salesforce and AuctionFlex - Upload photos and videos to auction listings - Maintain accurate records and documentation Collections & Payment Processing - Process payments through the POS system and accounting software - Create invoices as required - Follow up with bidders regarding outstanding payments - Ensure all payment transactions are completed accurately and efficiently Scheduling & Coordination - Book pickup appointments for customers - Prepare and organize required paperwork and documentation - Assist with additional administrative duties as assigned Core Competencies - Strong customer service and communication skills - Excellent organizational and time management abilities - Ability to work independently and collaboratively within a team - Strong attention to detail and accuracy - Effective problem-solving and decision-making skills - Dependable, accountable, and adaptable - Ability to manage stress and work effectively under pressure - Ability to multi-task - Positive attitude and professional demeanor Qualifications & Requirements - College diploma in Business Administration or related field, or equivalent work experience - Proficiency with Microsoft Office Suite (Outlook, Word, Excel) - Minimum 1 year of administrative experience preferred - Minimum 1 year of customer service experience preferred - Strong verbal and written communication skills - Professional appearance and conduct - Reliable vehicle required (no public transportation available) - Ability to travel occasionally - Flexibility to work weekends and early shifts as needed - Quickbooks knowledge an asset but not mandatory Preferred Assets - Bilingualism (English/French) - Money handling experience - Auction industry experience - Experience with Salesforce or CRM systems - Experience using AuctionFlex software What We’re Looking For We are looking for a dependable and energetic team player with a strong work ethic who can provide excellent customer service while maintaining accuracy and efficiency in a busy office workplace.
