We are seeking an experienced Office Administrator with a strong background in data entry, invoicing, and navigating energy/home efficiency rebate programs. Because we process time-sensitive insulation and roofing rebate applications for our clients, accuracy and attention to detail are absolute musts for this role. Key Responsibilities: - Rebate Program Coordination: Accurately process, track, and submit data-heavy applications for various insulation, eco-energy, and home improvement rebate programs. Ensure all required documentation meets strict guidelines to guarantee timely client approvals. - Invoicing & Accounts Receivable: Generate, verify, and send professional invoices for completed roofing and insulation projects. Follow up on outstanding payments and ensure financial records are kept up to date. - Data Entry & Management: Maintain meticulous digital and physical filing systems for project contracts, warranty information, and customer files. Enter data into our systems with 100% accuracy. - Office Support: Answer incoming calls and emails from homeowners, builders, and suppliers with a qualified, friendly demeanor. Assist management with daily scheduling and administrative tasks as needed. Qualifications & Skills: - Experience: Minimum 2+ years of experience in office administration, invoicing, or a construction/trades bookkeeping role. - Rebate Familiarity: Prior experience handling administrative paperwork for utility, energy efficiency, or government rebate programs is a major asset. - Superb Organization: You don't just tolerate paperwork; you master it. You have a proven ability to manage multiple project deadlines without letting details slip through the cracks. - Tech-Savvy: Strong proficiency in Microsoft Excel, Google Workspace, and standard invoicing/accounting software (e.g., QuickBooks or industry-specific dispatch/CRM software). - Communication: Excellent written and verbal communication skills to deal effectively with clients and rebate program coordinators. - Location: Must be reliably commuting to or residing in the Oshawa, ON area.
