In this pivotal role, you will perform diversified administrative duties while collaborating with a geographically diverse team. Position: Receptionist Location: Ottawa Work schedule: 8:00am-4:00pm Clearance required: Ideally Reliability Briefing (CGP + NATO briefing) but will accept Controlled Goods only. **This is a 3 week mandate** Advantages - Location: Ottawa (Major international airport). - Work Mode: 100% On-site. - Work Schedule: Monday to Friday, 8:00 AM - 4:00 PM. - Environment: Enjoy a rewarding career working in a energetic environment. - Clearance Required: Reliability Briefing (CGP + NATO briefing), but will accept Controlled Goods only. Responsibilities Reception desk administrative support for the entire site 5 days a week; an individual or a department and may perform work for several individuals. Supports the security team as well as provides virtual back up to Halifax office for phones. Coordinate site needs, including managing/escorting building contacts and managing janitorial issues. Coordinate outside visitor access, including creation and enforcement of visitor requests, issuing of badges, verifying IDs, Wi-Fi access, cell phone storage, guest emergency briefing, physical escort of guests on site Coordinate mail & courier services, including international shipping, checking mail on site and receiving incoming packages, as well as shipping out Answer telephones; screen calls, take messages and forward calls Ensure mail is delivered to correct parties Compose letters to answer various and unusual requests or respond to invitations from business/community events Compile information for management in an organized and logical fashion. Research information on various subjects Create and assist with Power Point Presentation reviews and formatting. May provide support to others on various Microsoft tools Assist onsite IT with various tasks, including shipments, troubleshooting minor issues Meeting Coordination: Scheduling and coordinating meetings, arranging meeting dates/times/rooms, contacting participants and follow-up on items as needed Ad hoc additional projects as needed; project support for scanning documents, updating site requirements & disposal of materials Organize meetings and special events including invitations, facilities co-ordination, catering arrangements, itinerary development, and program evaluation Qualifications Experience: 1 to 2 years of relevant experience in a receptionist, administrative support, or coordination role. Education: High School Diploma or Office Administration certification. Languages: Fluent English required. Bilingualism (French and English) is a solid asset. Software: Proficiency with the Microsoft Suite of tools (Word, Excel, Power Point, Outlook, and Teams). Key Skills: Highly organized, initiative in handling time-sensitive issues, and a strong ability to maintain confidential and business-sensitive information.
