The Project Assistant supports the successful delivery of administrative, operational, and project-related activities within a national workforce development initiative. This role is responsible for coordinating meetings, managing communications, maintaining organized records, and supporting project workflows. A key component of the position involves processing and tracking wage subsidy applications while ensuring compliance with established procedures and standards. This is a 3 month contract opportunity based out of their Ottawa office (hybrid - 2 days in office; 3 days from home). Key Responsibilities - Coordinate meetings, prepare meeting materials, take minutes, and manage project communications to support efficient operations - Process applications from intake through completion during designated program activity periods - Review and verify application details and supporting documentation to ensure accuracy and compliance with program requirements - Enter and maintain accurate records across databases, tracking systems, and reporting tools within established timelines - Prepare reports on application volumes, project pipelines, progress updates, key milestones, outstanding tasks, and identified risks - Develop and maintain tracking systems to monitor project activities and participant engagement - Conduct research on relevant topics and provide concise summaries aligned with organizational standards - Assist with event coordination, logistics, and preparation for research and project initiatives - Organize electronic files, correspondence, and documentation according to internal data management procedures - Provide professional and responsive communication to internal teams, stakeholders, and external clients - Identify workflow challenges and recommend process improvements using a solutions-focused approach - Participate in cross-training and support additional duties as required - Contribute to lead generation and outreach activities alongside regular responsibilities - Provide support across multiple projects and teams within a fast-paced environment Skills & Qualifications - Positive, collaborative, and adaptable team player who thrives in high-performing environments - Strong customer service and relationship-building skills with the ability to work effectively with internal and external stakeholders - Experience providing administrative support within project management environments, including schedule coordination and project tracking - High level of attention to detail, particularly in data entry, application processing, and compliance verification - Analytical and data-oriented mindset with the ability to generate reports and monitor project progress - Excellent organizational and time-management skills with the ability to manage multiple priorities simultaneously - Curious and proactive approach to problem-solving and continuous improvement - Clear and skilled written and verbal communication skills - Strong research and information synthesis abilities - Proficiency with digital tools and technology used to manage, organize, create, and share information - Collaborative and purpose-driven approach to supporting impactful initiatives - Commitment to diversity, inclusion, collaboration, transparency, and continuous learning - Postsecondary diploma or degree in a related field, or an equivalent combination of education and experience Preferred Qualifications - Experience using project management software such as Asana or similar platforms - Bilingualism in English and French AI may be used to support certain administrative aspects of our recruitment process.
