Location: City of Ottawa, Ontario (mix of working from home + on-site visits) Type: Part-time, Independent Contractor Schedule: On-call (24/7/365, with pre-agreed downtime) Compensation: - Monthly standby retainer: $300/month for full 24/7/365 coverage, or $200/month if excluding certain late-night hours 4–6 days/week - Periodic inspection fees: $100–$160 per home per inspection (approx. 20–28 inspections/year) - Active management work: $22–$45/hour, depending on experience, expertise, and whether work is onsite or remote (travel time is not billable) - Mileage reimbursement: $0.64/km for business travel between properties and work sites (requires reliable personal vehicle and valid driver's license) - Expected total monthly fees: Approximately $1,000–$2,500/month (combination of retainer, inspections, active work, and mileage; actual amount varies by activity level) About the Role: An independent and hands-on residential landlord is seeking a Frontline Property Management Assistant to provide first-line support for both regular and emergency issues at 8 residential rental homes in Ottawa. This is not a full-service property management job and does not include rent collection, leasing, or tenant screening, advertising, etc. This role is ideal for a handyperson, general contractor, skilled tradesperson, home inspector, or recent graduate in property management / building trades who wants flexible, part-time work with predictable base income plus hourly and inspection fees. Working couples are welcome to apply. Training and a clear operational framework will be provided. You will work directly and closely with the landlady, who will remain actively involved in decision-making and higher-level property management. Key Responsibilities: Day-to-day & emergency support - Be the first point of contact for tenants regarding property-related issues (both routine and urgent). - Collect detailed information from tenants about issues by phone, text, or email. - Remotely investigate and troubleshoot problems where possible, including: - -> Doing quick online and AI-assisted research - -> Guiding tenants step-by-step by phone or video (e.g., checking breakers, shut-off valves, thermostats, etc.) - Attend at properties when needed to: - -> Investigate issues onsite - -> Assist tenants - -> Perform basic repairs within your skill set Regular & seasonal inspections - Conduct thorough bimonthly and semi-annual inspections at selected properties. Check items such as: - -> Smoke/CO alarms and batteries - -> Basic appliance function - -> Visible leaks, moisture, and obvious safety issues - -> Seasonal tasks (e.g. outdoor hose shut-off/on, basic winterization checks) - Perform move-in, move-out and repossession inspections as needed - Provide written inspection reports with notes and photos Incident documentation & reporting - Complete incident reports for all significant issues, including: - -> Description of problem, steps taken, and outcome - -> Time spent and materials used - -> Photos / videos as appropriate - Maintain clear, professional written communication with the landlady about ongoing and resolved issues. Showings and vacancy support - Assist with onsite showings to prospective tenants Scope and collaboration - Follow established operational framework and procedures for regular property management tasks, emergency events, escalation, out source to specialized trades (plumber, electrician, HVAC, etc.) - Work in close collaboration with the landlady, who provides guidance, remote support, and decision-making What this role does NOT include (tasks explicitly excluded from this role): - Rent collection - Lease drafting, renewal, or enforcement - Tenant screening or application processing - Creating ads, photography, video tours, or marketing materials - Full maintenance oversight of third-party contractors (beyond basic coordination and communication when required) Ideal Candidate Profile This opportunity is well suited to: - General contractors or handypeople comfortable with basic home repairs and troubleshooting - Skilled trades (e.g., plumbers, electricians, HVAC, home inspectors) looking for supplemental, flexible income - Recent graduates from: - -> Property management - -> Building maintenance - -> Construction / skilled trades - -> Home inspection or related programs - Working couples who can share on-call coverage and site visits You should be: - Comfortable talking to tenants, calmly handling complaints, and explaining steps clearly - Naturally curious and resourceful, willing to research issues and solutions - Organized, reliable, and able to document your work clearly in writing - Generally handy and able to perform basic home repairs within your competence level Requirements - Based in the City of Ottawa with the ability to attend properties in person when needed (homes are located from around CHEO to Kanata) - Independent contractor status (you will invoice for your time and services) - Must currently or will carry valid Commercial General Liability (CGL) insurance and be able to provide proof of coverage - Availability to be on call 24/7/365, with the option to pre-arrange excluded late-night hours (4–6 days per week) as needed - Comfortable using phone, email, text, Whatsapp, and video tools (e.g., Google Meet) for communication and remote troubleshooting - Strong verbal and written communication skills in English - Must have reliable personal vehicle and valid Ontario driver's license for travel between properties - Basic computer/internet literacy - Able to follow established procedures and processes with templates and checklists for incident and inspection reports - Personable, professional, and tenant-focused; able to represent the landlord respectfully and diplomatically - Must be able to arrange a qualified backup contractor (with appropriate skills and insurance) to provide coverage during your vacations, holidays, or other unavailability Nice-to-have (not strictly required) - Formal training or certification in property management, building maintenance, home inspection, or a skilled trade - Prior experience working with residential landlords, property managers, or maintenance teams To apply, please submit: - Your CV - Add a brief note describing: - -> Why you are interested in this position - -> Summary of your background, skills, relevant experience - -> Your general availability for on-call support - -> You may also include examples of past work (photos, descriptions of projects, or references) if relevant - -> Describe your personality.
