We are a property management company looking for a Property Management Administrator. This is a key position responsible for the daily operations of the multiple buildings in Penticton. You will work closely with head office to ensure rent collection, vacancy management, and repairs & maintenance are at peak efficiency. Prior experience with building management and administrative work are assets but not required. You will be provided with full training. The ideal candidate will be detail oriented, organized, results oriented “go getter” with high follow-through. He/she is comfortable wearing multiple hats & juggling multiple responsibilities in a fast-paced environment. Duties & Responsibilities included but not limited to: Tenant Management: - Ensure timely collection of rental payments by making phone calls, in person visits, & sending notices when necessary - Ensure that residents’ issues & service requests are addressed in a timely manner - Conduct move-ins, move-outs, and showings for residential and commercial units. - Respond to building or in-suite emergencies - Communication & enforcement of building rules & regulations Property Administration: - Input new accounting/lease data in a timely manner for new tenants, lease renewals, rent increases and tenant move outs - Supporting role for payables and receivables - Organize and maintain filing systems for leases, tenant information, and other documentation - Assist Property Manager in creating and issuing notices, researching projects, filing evictions, and populating spreadsheets to analyze information. - Various projects as needed Vacancy Management: - Monitor & review vacancy reports with head office on an on-going basis - Coordinate with leasing administrator to set up showing appointments - Conduct unit showings with prospective tenants - Assist prospective tenants with filling out leasing paperwork Property Repairs & Maintenance: - Schedule cleaning & repair of turnover suites - Coordinate with head office & vendors to implement effective repairs & maintenance - Coordinate & monitor progress of repairs, maintenance & renovations carried out on buildings - Manage tenant maintenance requests, including proper follow up to ensure satisfaction & timely completion - Inspection of buildings & vacant suites to report on any deficiencies - Manage & schedule staff required for maintenance, cleaning, garbage removal, landscaping etc. - Ensure site is well maintained & kept tidy - Assist with maintenance and cleaning as time permits - Perform other duties as assigned by the senior management. Summary of Qualifications: · Responsible, driven individual(s) with high follow through · Experience using Microsoft Office tools, typing 40 WPM · Ability to budget, negotiate & prioritize time effectively · Assertive & confident with a professional work ethic & desire to complete tasks · Honest, transparent, accountable & adapts easily · Calm & collected with the ability to defuse & deescalate situations as needed · Excellent communication & organizational skills, with ability to multitask · Strong understanding & appreciation of deadlines & commitment to schedules & procedures · A valid drivers' license & vehicle are required to accomplish the assigned tasks Compensation: $40,000 - $50,000 We thank all applicants for their interest, but only those selected for further consideration will be contacted.
