ABOUT US The Hot Tub People is one of Ontario's leading hot tub, swim spa, and sauna retailers.. We're a small, close-knit team that takes pride in delivering a premium customer experience from the first showroom visit all the way through delivery and beyond. As we grow, we need a sharp, detail-oriented Administrative Assistant to help keep our operations running smoothly behind the scenes. THE ROLE This is a primarily office-based administrative position that supports the Operations Manager and the broader team. You will be responsible for the accuracy and completeness of our order pipeline, customer records, warranty registrations, and e-signature documents. You will also assist with Shopify product management tasks. This role requires someone who is highly self-directed, thrives on checklists and accuracy, and is comfortable working across multiple digital platforms simultaneously. This is not a customer-facing or driving role — but it is a role where precision and ownership matter every single day. KEY RESPONSIBILITIES Order & Delivery Administration - Review all incoming orders for completeness and accuracy before processing - Unfill (release) orders in the system when required and flag discrepancies to the Operations Manager - Confirm that each order is pulling inventory from the correct location - Maintain and update the master stock list in Google Sheets as inventory moves or changes - Transfer customer and order information from Shopify into Jobber accurately Warranty & Documentation - Register product warranties through manufacturer portals following each completed delivery - Prepare and send e-sign documents to customers via JSign and track completion status - Maintain organized digital filing of all signed documents and warranty confirmations in Google Drive Shopify Product Management - Update product costs and retail pricing in Shopify as directed - Edit and improve product descriptions for clarity, accuracy, and consistency - Create new product listings in Shopify, including uploading images and configuring variants - Ensure product information reflects current inventory and promotions General Administrative Support - Monitor task queues and work independently to keep all items current with minimal supervision - Flag issues, discrepancies, or incomplete information proactively rather than waiting to be asked - Support the Operations Manager with administrative tasks as the business requires WHAT WE'RE LOOKING FOR Required - Highly proficient with computers and comfortable learning new software quickly - Demonstrated experience with Shopify (product management, order administration, or equivalent) - Working knowledge of Google Sheets and Google Drive - Strong attention to detail — you catch errors others miss and take accuracy personally - Ability to manage multiple open tasks simultaneously without losing track of any of them - Self-starter who does not need to be reminded to complete routine tasks - Clear written communication skills Nice to Have - Experience with Jobber or a similar field service / CRM platform - Familiarity with e-signature platforms (JSign, DocuSign, or similar) - Experience with warranty registration portals - Background in retail operations, home improvement, or a product-based business WHAT WE OFFER - A stable, full time in-person position with a growing Ontario retailer - A small-team environment where your contributions are visible and valued - Clear processes and systems - Competitive hourly wage commensurate with experience Pay: $17.60-$22.00 per hour Benefits: - On-site parking Application question(s): - How would you describe your overall comfort level with learning and using new computer software? - Do you have experience working directly inside Shopify? - When entering data between two systems (for example, copying customer details from one platform to another), how do you ensure accuracy? - Have you ever worked with a CRM, field service platform, or job management software (such as Jobber, ServiceTitan, HubSpot, or similar)? - If you discovered a discrepancy in an order — for example, a product set to ship from the wrong location — what would you do?
