About the role We are currently seeking a highly organized and detail-oriented Administrative Assistant for our client, a growing plumbing and heating company, to support daily operations. This position plays a key role in ensuring efficient coordination between the office, technicians, and customers. This is an excellent prospect for someone who thrives in a rapid-paced environment and enjoys managing multiple priorities while keeping operations running smoothly. Key Responsibilities Provide general administrative support to the office team Coordinate service scheduling and dispatch technicians accordingly Communicate effectively with technicians and customers to ensure seamless daily operations Maintain accurate records and perform data entry across systems Work with ServiceTitan and other cloud-based platforms Manage backflow documentation and related administrative tasks Assist with invoicing, job tracking, and reporting Organize files, documents, and internal processes Handle inbound calls, emails, and customer inquiries professionally Support additional administrative functions as required Qualifications Ability to work efficiently in a fast-paced setting Strong organizational and time management skills Excellent communication and coordination abilities Proficiency with computers and office software Strong problem-solving skills and adaptability Experience with dispatching is considered an asset Experience with ServiceTitan or similar platforms is preferred Comfortable working with numbers and data Compensation & Schedule $22–$25 per hour (based on experience) Monday to Friday, 7:00 AM – 3:00 PM Weekly pay Overtime after 44 hours We are committed to an inclusive, barrier-free recruitment and selection process and workplace.
